About the Opportunity

Reporting to the Manager of People Operations, the People Experience Payroll/Benefits Specialist plays a pivotal role in delivering efficient and effective services to our US employees and managers. The ideal candidate will have a commitment to delivering exceptional service, excellent communication skills, and experience in (or the drive to learn) Workday Payroll and People Operations..  This is a US based role.


How You'll Make an Impact:

  1. Payroll Processing:
    • Prepare and process bi-weekly payroll for US employees, ensuring accuracy and compliance with company policies and regulations.
    • Calculate wages, overtime, and deductions, including taxes, garnishments, and benefits contributions.
    • Reconcile payroll reports and resolve discrepancies in a timely manner.
    • Manage the employment verification process.
    • Manage the I-9 process.
  2. Benefits Administration:
    • Administer employee benefits programs, including health insurance, retirement plans, disability insurance, and other voluntary benefits.
    • Manage benefits enrollment, changes, and terminations, ensuring accurate and timely processing.
    • Conduct benefits orientations and provide ongoing support to employees regarding benefits options and inquiries.
    • Manage benefits audits and billing, ensuring timely and accurate payments.
    • Support the annual renewal/Open Enrollment process
  3. Compliance:
    • Conduct all compliance activities, including audits, not-discrimination testing, reporting, etc.
    • Ensure compliance with federal, state, and local payroll and benefits regulations, including IRS guidelines and Department of Labor requirements.
    • Prepare and file required payroll tax reports and ensure timely payment of payroll taxes.
    • Maintain accurate records and documentation to support audits and regulatory compliance.
  4. Employee Support:
    • Serve as the primary point of contact for employee inquiries related to payroll and benefits, providing prompt and accurate responses.
    • Investigate and resolve payroll and benefits issues, collaborating with internal and external stakeholders as needed.
    • Educate employees on payroll and benefits policies and procedures.
  5. System Management:
    • Utilize payroll and HRIS systems (e.g., Workday) to process payroll and manage benefits data.  Upload and/or manage integrations to benefit vendors as needed.
    • Ensure data integrity and maintain up-to-date employee records in the payroll and benefits systems.
    • Participate in system upgrades and implementations, providing testing and feedback as required.
  6. Reporting and Analysis:
    • Generate and distribute payroll and benefits reports to HR leadership and finance teams.
    • Analyze payroll and benefits data to identify trends, discrepancies, and opportunities for improvement.
    • Provide insights and recommendations to enhance payroll and benefits processes.
  7. Process Improvement:
    • Identify and implement process improvements to increase the efficiency and accuracy of payroll and benefits administration.
    • Stay current with industry trends and best practices, recommending updates to policies and procedures as needed.
