We are currently seeking a detail-oriented and experienced Payroll Specialist to join our dynamic team. The Payroll Specialist will be responsible for ensuring accurate and timely processing of payroll for all employees within the organization, managing multiple pay cycles or pay entities, overseeing payroll taxes for various states, and collaborating with the larger P&C team on system updates, integrations, employee updates, record keeping, and filing. This role requires meticulous attention to detail, strong organizational skills, and a comprehensive understanding of payroll processes, regulations, tax laws, and P&C systems and practices.

Key Accountabilities

  • Process bi-weekly payroll for employees accurately and in compliance with company policies and procedures, accounting for different pay cycles or pay entities as necessary.
  • Calculate wages, deductions, and withholdings including taxes, insurance, retirement contributions, garnishments, and other applicable deductions for each pay cycle or pay entity.
  • Ensure timely and accurate payment of employee wages adhering to different payment schedules as required.
  • Manage payroll taxes for various states, including set up and maintenance of state tax accounts, ensuring compliance with state tax laws, regulations, and reporting requirements.
  • Stay informed about changes in payroll regulations and compliance requirements and ensure company payroll processes adhere to these standards. Maintain accurate records of state tax filings, payments, and correspondence with tax authorities.
  • Collaborate with the larger P&C team to ensure accurate employee data input, including new hires, terminations, and changes in employment status.
  • Assist in the implementation of new payroll software systems, including data migration, testing, and training.
  • Provide support to P&C colleagues on payroll-related inquiries, system issues, and data analysis.
  • Respond to employee inquiries regarding payroll matters, including pay discrepancies, tax inquiries, and payroll policies across different pay cycles, pay entities, and state tax jurisdictions.
  • Prepare and submit payroll reports to management and finance teams for review, consolidating data from multiple pay cycles or pay entities.
  • Assist with payroll-related audits and investigations as needed, providing documentation and support for each pay cycle, pay entity, and state tax jurisdiction as required.
  • Assist with year-end payroll activities, including W-2 preparation and distribution.
  • Support internal and external audits by providing accurate payroll documentation and information.
  • Continuously identify opportunities for process improvements and efficiency enhancements within the payroll function, particularly in managing multiple pay cycles, pay entities, state tax compliance, and HR system integration.

Education and Experience

  • Bachelor’s degree in Human Resources, Accounting Finance, Business Administration, or related field is preferred.
  • 5 years of experience in payroll administration, preferably in a setting that has multiple payroll processes or entities.
  • Experience administering payroll in a publicly-traded company required.
  • Comprehensive knowledge of payroll processes, regulations, and best practices in the US and Canada.
  • Experience with mergers & acquisitions strongly preferred.
  • Proficiency in payroll processing software and Microsoft Excel. Strong understanding of state tax laws and regulations, with experience registering and troubleshooting payroll taxes for multiple states.
  • Excellent attention to detail and accuracy in data entry and calculations. Ability to problem-solve and troubleshoot, including reconciling payroll changes to completion.
  • Excellent communication skills, both verbal and written, with the ability to effectively interact with employees at all levels of the organization.
  • Ability to handle sensitive and confidential information with discretion and integrity.
  • Strong organizational and time-management skills, with the ability to prioritize and multitask in a fast-paced environment.
  • Certified Payroll Professional (CPP) designation is a plus.
