Payroll Specialist, Italy

OVERVIEW

Location: Italy 

As the first Payroll employee in Italy, this individual must be a strong self-starter with a growth mindset. This individual will support with establishing all Payroll practices in Italy, in partnership with the wider Finance team. This role will partner directly with cross-functional teams to support the stores across Italy. 

The Payroll & Benefits Support Specialist plays a pivotal role in managing the payroll operations and benefit activities. This role will ensure that all aspects of payroll processing are conducted accurately and efficiently, in line with regulatory requirements and company policies. This role involves, monthly payroll processing, employee inquiry management, employee change management, and reporting. The position will work closely with the Italy HR team, payroll providers (such as ADP), and other stakeholders to deliver seamless payroll and benefit support.  

Payroll & Benefits Specialist is a full-time position for an indefinite term and will include a probationary period, whose duration will be in line with the provisions of the law and the applicable CBA.

RESPONSIBILITIES  

• Planning: Collaborate with the Italy HR, benefits, and payroll teams to determine and implement optimal payroll cadences and pay periods.
• Payroll Processing:
• Compile and upload monthly payroll bulk files, including hours worked, absences, bonuses, etc.
• Upload supporting documents for payroll processing, such as new joiner and Sick Pay notes.
• Address queries related to payroll file completion and ensure the accuracy of payroll submissions.
• Conduct pre-commit reviews, audits, and obtain necessary approvals before final payroll commits.
• Employee Payroll Support: Serve as the first point of contact for payroll-related inquiries from employees, ensuring timely and accurate responses.
• System Configuration and Management:
• Identify and collaborate with payroll analyst to resolve system configuration errors across various platforms (e.g., Workforce Now, Celergo, ConnectTeam, Legion).
• Manage timeclock setups for new stores and update systems with new joiner information, leave types, and annual leave balances.
• Regulatory Compliance and Reporting: Ensure compliance with local legal requirements, including the processing of relevant letters and payments.
• Payroll System Access: Request access and manage to completion.
• Additional Responsibilities:
• Reset passwords for payslip access as needed.
• Alert Alo Payroll Analyst on new account configurations requirements and updates.
• File and maintain payroll reports..
• Process wire transfer requests and address any questions or errors during monthly audits with Accounts Payable.

QUALIFICATIONS

• Proven experience in payroll processing and benefit support roles.
• Familiarity with payroll software (e.g., ADP) and HR information systems.
• Strong analytical and problem-solving skills.
• Excellent communication and interpersonal skills.
• Ability to work effectively with cross-functional teams.
• Knowledge of Italian payroll regulations and compliance requirements.
