KEY RESPONSIBILITIES:

• Receive, check and process all creditor invoices on a weekly basis
• Accurately code all invoices to correct general ledger accounts
• Draw all creditor payments on a timely basis
• Draw prompt payments as required including Funds transfers and manual cheques
• Ensure all creditor payments are processed through the accounting software
• Attend to bank drafts as and when required for all foreign currency payments
• Ensure all filing of paid creditors is maintained on a weekly basis accurately
• Answer all creditor enquiries promptly and in an effective and polite manner
• Reconcile creditor statements on a monthly basis
• Allocate all manual cheques in accounting software once drawn
• Assist with End of Month Accruals
• Assist with Balance Sheet Reconciliation’s
• Complete other tasks that may be assigned by Management from time to time.
• Report all unsafe conditions, practices and hazards to the Manager / WHSO as soon as possible
• Take reasonable care for the safety of self and others in the workplace

JOB QUALIFICATIONS:

• Diploma or tertiary qualification in bookkeeping or accounting or experience in Accounts Payable processing as well as other clerical and administrative tasks
• Proven experience working with General Ledger
• Proven time management skills and experience working effectively to deadlines
• Experience and good working knowledge of a previous Accounts Payable system (essential)
• Knowledge of Great Plains and/or SunSystems advantageous (desirable)
• High level of numerical skills, coupled with a high degree of accuracy and attention to detail
• Accurate data entry / keyboard skills
• Well developed interpersonal skills including the ability to deal effectively with all customers by phone, email and in person (Essential)
• Proven understanding of Accounts Payable functions (Essential)
• Ability to exercise judgment and work autonomously with minimal supervision (Essential)
• Well developed organizational skills with an ability to prioritize workload, meet deadlines and demonstrate flexibility in dealing with people in competing demands (Essential)
• Good to advanced skills in Microsoft Office (Word and Excel)
• Ability to cope with change and willingness to learn new systems and procedures (Highly desirable)
• Ability to maintain confidentiality of information (essential)
• Strong work ethics, flexible in approach and supportive of others (Essential)
