The department operates in a control-sensitive environment, supporting domestic and cross-border payment flows across multiple currencies, entities, jurisdictions, correspondent banks and market cut-off times. It plays a key role in maintaining accurate records, safeguarding funds, managing operational risk and ensuring that issues are identified, owned, escalated and resolved with clear evidence.

Core Functions
1. Confirmations, Settlements & Payment Processing

2. Payment Investigations & Exception Management
• Manage payment enquiries, repairs, exceptions and investigations, including rejected, delayed, returned, amended, unmatched or misdirected payments.
• Work with correspondent banks, payment partners and internal teams to progress cases, obtain updates and resolve issues within expected service standards.

3. Reconciliations, Safeguarding & Financial Controls
• Perform and oversee intraday and end-of-day reconciliations across payment, settlement, funding and safeguarding-related accounts.
• Investigate breaks, unmatched items, suspense balances and funding discrepancies, ensuring ownership, escalation, remediation and closure evidence are clear.

4. Risk, Incidents & Control Oversight
• Support incident management, control monitoring, risk identification, issue remediation and post-incident improvement activity.
• Maintain operating discipline through clear procedures, evidence standards, MI, escalation routes and governance updates.

5. Change, Partners & Continuous Improvement
• Work with Product, Finance, Technology, Financial Crime, Risk, Client Services, correspondent banks and payment partners to improve payment workflows and operational readiness.
• Use data, MI, AI and automation tools responsibly to improve reporting, workflow efficiency, investigation quality and control consistency.

Responsibilities:

Operational Leadership & Delivery
• Participate directly in daily payment operations activity, including confirmations, settlements, sweeps, payment queues, funding movements and related operational entries.
• Set clear priorities for time-sensitive payments, investigations, reconciliation breaks and escalations, ensuring work is allocated, tracked and completed within agreed standards.
• Act as a senior point of support for complex or high-impact payment issues, while remaining prepared to step into the detail and help progress BAU items where required.
• Maintain operating rhythms that keep BAU activity visible, prioritised and controlled across the team.

• Take hands-on involvement in payment enquiries, repairs, exceptions and investigations, including rejected, delayed, returned, amended, unmatched or misdirected payments.
• Guide root-cause analysis across payment messages, transaction data, funding movements, system records, correspondent bank updates and client-facing information.
• Ensure investigation records are complete, clear and audit-ready, including ownership, ageing, escalation status, evidence and closure rationale.
• Identify recurring exception themes and work with Product, Technology, Risk and operational teams to reduce repeat issues through process, data or system improvements.

Reconciliations, Controls & Safeguarding Support
• Participate in and oversee intraday and end-of-day reconciliations across payment, settlement, funding and safeguarding-related accounts.
• Review material, aged or unresolved breaks, ensuring ownership, escalation, remediation plans and closure evidence are clear.
• Support daily safeguarding calculations, evidence packs and related exception handling, ensuring issues are documented and escalated appropriately.
• Use reconciliation trends, MI and control observations to improve matching logic, reduce manual intervention and strengthen financial controls.

Control Ownership, Risk & Incident Management
• Maintain operating processes, controls and MI that help the function remain disciplined, predictable and transparent.
• Act as an escalation point for high-value, time-critical, fraud-related, regulatory or client-impacting issues.
• Support incident management from assessment through to escalation, remediation tracking, stakeholder updates and post-incident actions.
• Contribute to control design, procedure maintenance, risk assessments, issue remediation and audit or governance requests relating to payment operations.

People Leadership & Team Development
• Provide day-to-day guidance, coaching and quality review for analysts or junior team members, where applicable.
• Help set expectations for work quality, case handling, escalation discipline, record-keeping and control evidence.
• Support onboarding, cross-training and knowledge sharing so the team can operate consistently across payment flows, investigations and reconciliations.
