Position Overview
- Reporting to the Senior Manager of Filing Services and as an integral part of Questel’s Filing Services Team, this client-facing role is responsible for patent filing operations by performing various administrative tasks and duties, which include saving filed documents and translations, completing forms, and working with clients.

Principle Duties & Responsibilities
- Effectively communicate and collaborate with external and internal stakeholders to understand needs and requirements related to projects. Monitoring and mediating information flow among them through effective communication methods and techniques and ensure updates on the progress of the project accordingly.
- Develop strong client relationships through excellent communication and client interfacing skills, ensuring retention through regular communication and support.
- Respond to inquiries internally and externally in a timely and service-oriented manner.
- Effectively process large volume of projects and project communciations in a timely manner.
- Perform required data entry, review and monitor multiple reports daily, as well as synthesize data for use in reporting and decision-making environments.
- Manage the foreign filing process and lifecycle, ensuring submissions meet deadlines, budget constraints, and quality standards.
- Send and manage filing instructions, transferring cases to foreign agents for prosecution as needed.
- Develop a work schedule for project completion, allocate and adjust necessary resources appropriately to the project requirements, monitor the progress toward goals, and make adjustments as necessary to successful completion.
- Find ways to creatively meet occassionally tight and non-negotiate deadlines.
- File patent applications electronically.
- Process, review, and save documentation associated with foreign filings.
- Perform quality control measures and deliver and notify clients once foreign filings have been carried out.
- Work on special projects and other duties as assigned by management.
- Maintain workflows, work instructions, and coordinate with management to meet company goals.
- Participate in process improvement initiatives for the benefit of the organization, operation and team.
- Foster teamwork, resolve problems cooperatively, and enhance organizational effectiveness.
- Keep abreast of relevant industry and country laws and news, actively participates in training to acquire new skills and maintain work knowledge.
- Mentor and train internal team members as required accordingly.
- Backs up team members and cross trains with other team members as necessary.
- Adheres to all company policies and processes.
- Participate in client, company, team meetings and events as required.
