The Paralegal (Property Management/Compliance) supports the legal department, specifically the Assistant Vice President (AVP) - Counsel, Vice President (VP) - Counsel, and Senior Vice President (SVP) - Counsel, and other company members as needed. Responsibilities include litigation and contract workflows such as conducting research and gathering information both internally (e.g., company systems) and externally (e.g., state licensing authorities, HOAs and community management companies). Prepares drafts, letters, summaries, documents, reports, and maintains files to ensure compliance with licensing and contracts. Compiles and researches data and documents for discovery and investigations for litigation matters, administrative complaints, tenant and vendor claims. Provides notary services for the company.
Responsibilities:
- Provides support to legal department team members in disputes, administrative proceedings, and litigation related to property management, tenant and vendor disputes, liens, and escalations. Assists with and maintain various tracking sheets, organize information and documents, and assist with various projects as assigned.
- Supports, manages, and tracks legal functions and workflows–such as real estate licensing compliance, contracts, and dispute tracking–using various applications and tools (e.g., Excel and online software platforms).
- Assists with researching, discovering, and compiling information related to disputes and litigation, including Electronically Stored Information (ESI).
- Drafts preliminary summaries, documents, and correspondence for review.
- Communicates internally with various departments and externally with tenants, vendors, outside counsel, and government agencies, as needed.
Requirements:
- High school diploma or GED required.
- Bachelor’s degree or Paralegal Certificate or equivalent preferred.
- Minimum three (3) years of law firm paralegal or comparable experience required.
- Experience organizing and summarizing information from multiple sources.
- Experience in drafting correspondence and proofreading.
- Experience in litigation, landlord/tenant, real estate licensing compliance, property and community management, and HOAs preferred.
- Active Notary Public, or willingness and ability to obtain Notary credentials required.
- Proficiency in Microsoft Word, Excel and office-related software required.
- General comfort with technology and the ability to learn and use Company platforms, such as Yardi, Microsoft Dynamics 365 (CRM), Legal Tracker, and approved AI tools preferred.
- Familiarity with electronic law firm billing and matter management systems preferred.
- Excellent verbal and written communication, problem-solving, planning and analysis skills.
- Strong relationship management, organizational and customer service skills.
- Must be highly organized and able to follow and establish organizational systems.
- Must be proactive in handling matters and able to reliably follow through independently.
- Must be able to maintain confidentiality.

Compensation
The anticipated pay range/scale for this position is $38.54 to $48.16 Hourly. Actual starting base pay within this range will depend on factors including geographic location, education, training, skills, and relevant experience.Additional Compensation
