This role is responsible for performing a variety of legal and administrative duties in a proactive and forward-thinking manner. The position supports the Legal department across litigation, pre-litigation claims, subpoena processing, record requests, enforcement agency inquiries, attorney communications, and administrative matters. It includes document production and eDiscovery tasks, managing calendars and legal hold processes, maintaining case files, and assisting with legal department projects and operational strategies. The role may also lead projects as needed.

This role…

  • Partners with the Legal Leadership team to identify and track trends in subpoenas, attorney response letters, and cases.

  • Provides litigation support, including routing complaints, maintaining files, assisting with discovery, conducting fact investigations, and managing document production.

  • Designs, tracks, and reports on subpoenas, enforcement agency inquiries, and attorney inquiries to support operational strategy and legal leadership.

  • Supports implementation and use of legal hold software and eDiscovery tools.

  • Reviews and responds to attorney inquiries, ensuring timely and accurate communication.

  • Maintains systems to track attorney requests and responses.

  • Manages attorney calendars, docketing, and legal correspondence in a fast-paced environment.

  • Assists with departmental projects aimed at improving tracking, efficiency, and data-driven decision-making.

  • Performs quality control across eDiscovery workflows, ensuring data accuracy and adherence to formats.

  • Tracks, manages, and documents eDiscovery requests while maintaining chain of custody and data security.

  • Updates and maintains standardized workflow processes for legal services.

  • Interfaces with insurance companies regarding coverage issues and works directly with witnesses, client contacts, and opposing counsel to gather relevant information.

  • May lead projects and perform other duties as assigned.

We are interested in speaking with individuals with the following…

  • High School Diploma required.

  • Four (4) plus years of experience in a legal department, group setting, or law firm.

  • Experience with civil litigation highly preferred.

  • Or equivalent combination of education and/or experience.

  • Highly detail-oriented, organized, proactive, and efficient, with exceptional follow-through skills.

  • Exceptional analytical, research, and problem-solving capabilities.

  • Ability to manage multiple competing demands and shifting priorities in a fast-paced environment.

  • Strong professionalism, ethics, and ability to handle highly confidential information.

  • Demonstrated interpersonal and communication (verbal and written) skills.

  • Ability to build trust and collaborate across all levels of the organization.

  • Self-starter who thrives both independently and within a team setting.

  • Advanced proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Notes) and Microsoft Office (Word, Excel, PowerPoint, Visio).

  • Proficiency with Adobe Acrobat and Smartsheet.

  • Capability to learn and effectively use proprietary systems and databases.

Salary: $28.61 - 38.63/hr
