Nestled in the picturesque Missoula, MT valley, the Hybrid Executive Assistant & Paralegal is crucial in supporting our dynamic executive staff. Job Overview:
Our executives are involved in many projects to ensure our organization’s success, and they need assistance with both personal and professional responsibilities to keep things running smoothly. This hybrid role combines executive assistant responsibilities with paralegal duties. You will support the executive team by managing schedules, documents, travel, and communications, while also performing legal research, document review, and preparation. Flexibility, excellent organizational skills, and attention to detail are essential, as this role requires adapting to changing priorities. You will help maintain both personal and professional responsibilities for the executive team in a dynamic work environment where no two days are the same.

Key Responsibilities:
- Executive Support:
- Assist, coordinate, and maintain schedules for the Chairman of the Board, Sales Director, and other executives, including appointments, meetings, and travel arrangements.
- Organize internal and external meetings on behalf of the executive team and board members.
- Arrange company travel and logistics (flights, hotel accommodations, car rentals, and meeting schedules) and complete expense reports.
- Monitor and respond to executive correspondence (emails, phone calls, texts).
- Handle personal errands as needed (grocery shopping, gifts, mail, etc.).
- Regularly collect and compile various reports for executive review.
- Coordinate activities of board members, ensuring all necessary arrangements are in place for meetings and events.
- Prepare and manage documentation and legal files related to company operations, including contracts, agreements, and case files.
- Paralegal Support:
- Review, draft, and assist in the preparation of legal documents such as contracts and agreements.
- Manage and organize electronic and some physical filing systems.
- Utilize software for document drafting and management.
- Assist with litigation support and document production.
- Ensure compliance with legal procedures and deadlines.
Qualifications:
- Experience:
- 5+ years in either an executive assistant or paralegal role (or 3+ years with a Paralegal Certificate).
- Previous experience working with an executive team is a plus, but not required.
- High school diploma required; college degree preferred.
- Skills:
- Ability to juggle multiple responsibilities and projects simultaneously.
- Strong organizational skills and attention to detail.
- Proficiency in computer programs such as Word, Excel, Google Suite, and business tools/software (Salesforce, Dialpad, etc.).
- Excellent verbal and written communication skills.
- Ability to adapt quickly to unexpected changes and problem-solve in real-time.
- Strong sense of pride in your work and dedication to supporting the executive team.
Compensation:
- Compensation: $22+ per hour (dependent on experience)

About Our Dealership
Bretz RV & Marine opened for business in Missoula, Montana, in 1967. Until then, Frank and Vi Bretz had been operating a service station and renting U-Hauls in central Missoula. A search for a new camping trailer ended up turning into a new business opportunity. Not only did the Bretz family get a new camper, they decided to get into the business of selling and renting small travel trailers.
Today Bretz RV & Marine is still a family-owned and operated business with five dealerships across Montana and Idaho. We are fortunate to have grown from just over 100 employees to nearly 400 employees in the last five years. We do all we can to offer our teams an excellent place to work and advance in our company. We start by finding great people with high energy and then find the best place for them to be successful in our dealerships.
