SUMMARY OF POSITION:
The PACE Receptionist provides telephonic and in-person greeting to Participants enrolled in the NEMS Program of All-Inclusive Care for the Elderly (PACE). He/she is the first point of contact with the PACE Center when Participants and visitors call or visit. Duties include clerical, reception, and project-based work.
ESSENTIAL JOB FUNCTIONS:
- Greets Participants and visitors to the PACE Center. Ensures everyone is checked-in and has appropriate identification.
- Answers the phone, provides general assistance, and transfers calls to the appropriate department/individual.
- Retrieves and responds to all voice and TTY messages.
- Assists with scheduling and tracking appointments for Participants and conducting appointment reminder calls.
- Receives and distributes incoming mail. Processes inter-office and outgoing mail.
- Maintains schedules and processes for staff to utilize PACE resources, including meeting rooms, Participant facilities (showers, laundry), and vehicles.
- Assists with meeting scheduling, minutes, and logistics.
- Types correspondence, memos, and reports as directed.
- Maintains inventory of office supplies and replenishes as needed. Assists PACE staff with ordering supplies through purchasing.
- Assists with running reports to support the daily operations of PACE
- Serves as a liaison between field workers (e.g., drivers and caregivers) and the center.
- Utilizes Epic appropriately and efficiently and serve as content and workflow expert for resolving issues and proposing solutions in Epic.
- Performs other job duties as required by manager/supervisor.
Qualifications
QUALIFICATIONS:
Required:
- High school diploma or equivalent.
- Current BLS and First Aid required
- Must be proficient in the use of computer systems and business software, including Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Must be detail oriented and have good typing skills.
Preferred:
- At least one (1) year administrative experience.
- Must have strong customer service skills and professionalism. Prior customer service experience is a plus.
- Prior experience in a medical or healthcare setting is a plus.
LANGUAGE:
- Must be able to fluently speak, read and write English.
- Fluency in Cantonese is required.
- Fluency in other languages is an asset.
STATUS:
This is an FLSA non-exempt position.
This is not an OSHA high-risk position.
Skills Required
