Order Specialist
The Order Specialist will mainly be responsible for processing US, Canadian and Dealer Direct orders with various vehicle manufacturers; Monitor Truck orders from OEM vehicle manufacturers; Submit orders with up upfit and generate purchase orders to upfit vendors. The Order Specialist requires a certain degree of creativity and latitude to resolve our customer’s concerns.
Essential Job Functions
- Responsible for processing Passenger and Truck (light duty) orders with various Vehicle Manufacturers within 3 days of receipt for a US customer and 5 days if it is for a Canadian client.
- Monitor daily reports for new and aging orders.
- Ensure all orders submitted receives a “Manufacturer Acknowledged” date from the OEM.
- Review and generate purchase orders to upfit vendors if required.
- Pull/request manufacturer acknowledgements and verify for accuracy.
- Research and evaluate suppliers and delivering dealers based on price, quality, selection, service, support, availability, reliability.
- Promptly respond to inquiries (internal & external customers) via phone, email, CARE System.
- Collaborate with Company departments (CS/FAS/L&T) and vendors to discuss order rejects, option compatibility errors and order cutoff communications and determine corrective action utilizing CARE program.
- Maintain good relationships with OEM vehicle manufacturers and customer contacts.
- Serve as primary CS/FAS contact for issues such as pricing, compatibility, and detailed concern, status, and vehicle specs.
- Act as the liaison between OEM’s, upfitters, dealerships, customer service and sales force to address questions, concerns and/or problems related to upfit and order management.
- Assist with and coordinate problem/resolution management related to post-delivery issues.
- Research and resolve billing discrepancies as required by internal or external customers, vendors, and manufacturers.
- Attend and participate in meetings with customers, vendors, and manufacturers as needed.
- Research and resolve issues with customer selectors as needed to address concerns with vehicle make/model, colors, and options as needed.
- Position includes training and co-worker assistance responsibilities, job shadowing for other departments/customers.
- Work closely with Truck Consultants and L&T team.
- Maintain existing and set up new vendors and dealers.
- Submit Customer Bailment order and dealer reassignments as requested.
- Request new Shipping Labels for Bailment orders as needed.
Additional Responsibilities:
- Analyze internal processes and recommend and implement procedural or policy changes to improve operations.
- Requests Proof of Delivery receipt from OEM.
- Request vehicle transportation or delivery quotes.
- Meet client specific needs.
- Assist Dealer Specialist with delivery inquiries
- Assist with overflow of calls into ext. 1607.
- Other duties as assigned
Required/Preferred Education and Experience:
- High School Diploma or GED Required – Associate or Bachelor Degree in a relevant field is preferred.
- 1 to 3 years in an office environment required.
- 1 year or more automotive industry experience is preferred.
Required/Preferred Skills/Training:
- Basic computer skills are required with the ability to use the internet and MS Office programs such as Outlook, Word, Excel, and PowerPoint.
- Must be detail oriented and be able to perform day-to-day tasks in an efficient and timely manner.
- Should possess excellent communication and negotiation skills to bring others together and try to reconcile any differences in pricing or upfit specifications.
- Requires Critical Thinking skills using logic and reasoning to identify the strengths and weaknesses of
- alternative solutions, conclusions or approaches to problems.
- Knowledge of automotive technology and /or truck upfitting is preferred.
Language Skills:
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar is required. Basic knowledge of the structure and content of the Spanish and/ or French language is a plus.
Certifications, Licensees or Registrations Required/Preferred:
• A valid driver’s license;
• FleetWeb level 1 certification within 90 days of employment; and
• ASE (Automotive Service Excellence) certifications and additional TMI (Truck Marketing Institute)
certifications are a plus.
Mathematical Skills: N/A
Reasoning Ability:
Ability to negotiate pricing with regard to delivery and dealer installed option fees.

Pay Range:
$36,700-$51,300
The base salary range for this position is listed above. This position is eligible to participate in the annual incentive plan which is based on company performance and individual performance. Compensation ranges are based on several factors including job function, level, and geographic location. Final offer amounts are determined by multiple factors including candidate experience, education, certifications, skill level and expertise, and may vary from the amounts listed here.
