The Role

We are seeking an Order Management Specialist to add to our team.  Order Management Specialists are the primary interface with the Planar sales team and customers during all aspects of the order fulfillment process.

What You'll Do:

The Order Management Specialist is responsible for ensuring that the customers’ needs are met, from purchase order receipt to product shipment. Order Management Specialists also build and maintain positive customer relations with both external and internal departments to ensure customer requests are managed appropriately and in a timely manner.

  • Use knowledge of Planar products, business models, values, and chosen customer intimacy marketing discipline to build effective relationships.
  • Work with the customer to turn inquiries into purchase orders.
  • Coordinate customer purchase orders and change orders with Finance, Supply Chain and Customer Service departments.
  • Support and generate quotes for new/existing customers.
  • Process customer orders accurately and efficiently, from order entry through to delivery. Ensure all orders comply with company policies and customer requirements.
  • Function as the primary point of contact for customer inquiries related to orders, providing timely updates on order status, changes, and delivery schedules.
  • Resolve shipping, or invoicing problems through communications with the functional departments.
  • Assist in managing inventory ERP database and updating product information as needed.
  • Working closely with operations and warehouse teams to schedule shipments, select appropriate shipping methods, and ensure timely delivery.
  • Manage shipping documentation.
  • Address and resolve any issues that arise throughout the order process, including delays, product shortages, or shipping errors. Work proactively to prevent order-related issues.
  • Cross-functionally partner with sales, installation, finance, and production teams to ensure alignment of order fulfillment, invoicing, and customer requirements.

Additionally, Order Management Specialists:

  • Analyze data to identify areas for improvement, and opportunities for savings.
  • Communicate and collaborate with all teams.
  • Order Management Specialists are the source for questions to help solve material and capacity problems.
  • Create a realistic and flexible customer schedule, do what we can to meet our customer commitments.
  • Order Management Specialists make sure things flow smoothly and turn around as quickly as possible.


Requirements

What You'll Need:

  • BA/BS or equivalent experience in lieu of degree required
  • Minimum three years’ work experience in high tech business environment required.
  • Flat panel display, video technologies, or manufacturing experience is a plus.
  • Demonstrated success working in a fast-paced, team environment required.
  • Strong organization, written and verbal communication skills required.
  • Demonstrated proficiency with Microsoft Office, CRM and ERP systems required. Salesforce experience is preferred
  • Ability to work flexible hours on an occasional basis to collaborate with customers in different time zones required.

 Other Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Physical ability to use computer hardware/software required
  • Some lifting (up to 30 lbs.). Long hours on computer keyboard. Prolonged periods of standing and/or walking.
