The PositionThe Order Management Specialist ensures and is responsible to register and follow up until finalization all customer orders. Performs all tasks in accordance with customer requirements (date of delivery, quantity ordered, expiry date for the kits, a copy of order in the package, invoice via mail) and Roche Diagnostic’s standards. Optimizes the lead-time between customer’s orders and deliveries, informing customers and tracking status of open orders as well as open items from past orders. Represents the company in front of customers and counterparts, documenting and forwarding to the responsible person within the company any issue communicated to be resolved. The role will report directly to the Business Operations Manager and will coordinate with many other departments to ensure an efficient daily workflow.
Your Responsibilities
Receives, registers, centralizes and follow up all customer orders, requirements and logistics claims according to assigned territory and prepares monthly reports in deadline;
Communicates and coordinate with the warehouse in regards of orders and deliveries, preparing dispatch documents for warehouse in accordance with Roche Standards, policies and procedures;
Supporting and assisting on on-boarding process with respect to on job trainings
Maintains an excellent connection with the customers in regards of logistics topics and forwarding any other topic to the responsible department if required;
Ensure accuracy in all activities: outbound transport, transport mode, data/information, warehouse rules and procedures, material management, distribution planning, quality management, product allocation;
Ensures that all activities he/she is responsible for are carried out correctly, completely and timely.
Continuously updates his/her knowledge level over the Company products and standards
Manages the monthly personal budget of expenses according to the Company policy.
Observes and applies company's quality management policy, the objectives for its fulfilment and the provisions of the approved work procedures/instructions in all his/her daily activities.
Proposes preventive/corrective/improving actions required to both prevent the occurrence/reoccurrence of nonconformities and to improve activities.
Supports on SAP and system updates implementation;
Who You Are
You hold a University degree in Supply Chain, Logistics, Business Administration or related
You built a minimum of 2 years of work experience in order management or similar role
You built experience with SAP (SD module), Microsoft Excel (formulas, V-lookup, pivot tables), and Google suite. AI skills are considered a plus
You are customer service and process optimization focused
You have advanced analytical, critical thinking, problem-solving, and decision making skills
You have excellent interpersonal skills, and advanced written and oral communication skills
You are agile, and are able to work collaboratively and productively with diverse teams and multicultural environment
You are fluent in Romanian and English languages (verbal and written)
Important Note
We are looking to recruit an Order Management Specialist for a period of 2 years. This is an external/outsourced staff position. Your employer will be a third-party supplier, in service for Roche.
