Provides administrative, transactional and program execution support within the Merchandising area. Duties are varied but could include: processing invoices, making payments, researching data inconsistencies and handling ad-hoc requests. Ensures deliveries are monitored as to schedule, suitability and completion. Ensures effective planning, calendar management, company – supplier communication, and internal coordination.

Sr. Promotions Specialist

Pay Grade: 3

General Summary

Job Duties:

  • Support Promotions, Prime, Promo Pricing, and EDLC Processes
  • Coordinate with other Team Members who use a shared email account
  • Performs basic functionalities of a promo specialist, including, but not limited to:
    • Inbox Management
    • Merchant Communication
    • Supplier Communication
    • Monthly planner management, inputting promotion details including timeframe, items, discount, and supplier funding
    • Ensuring all planned promotions are implemented across merchandising teams
  • Receive, audit, handle, and process large volumes of excel files from supplier via email
  • Performs basic processes associated with per-orders, reporting, and follow-up
  • Enter and upload data, ensuring accuracy for analysis on promotions and EDLC programs
  • Maintain data integrity across multiple applications
  • Accountable for accuracy and timelines in all mentioned activities

Requirements and Qualifications:

  • Strong attention to detail
  • Effective communication that naturally develops rapport and a support structure
  • Effective time management skills
  • Ability to perform business math
  • Advanced proficiency with standard business software such as Excel, Word and Microsoft Office
    • Familiar with complex functions in Excel, such as VLOOKUPS
  • Familiar with data analysis tools
  • Understands procurement and related accounting- type administrative support
  • Proven high understanding of Promotions + Prime type programs to ensure all aspects of execution are accurate and timely
  • Ability to work independently and collaboratively in a group
  • Ability to lead and train
  • Self-Motivated
  • Ability to give and receive feedback
  • Positive attitude, solid work ethic and enjoyment performing a support role

Responsibilities:

  • Takes ownership and plays a lead role in performing promo support duties and responsibilities
  • Leverages understanding of marketing and billing processes to troubleshoot discrepancies and issues with both the Marketing and Billing Teams
  • Troubleshoots issues with Excel files and application anomalies
  • Contributes to improving applications used by Purchasing Team
  • Maintains positive and productive working relationships with suppliers and business partners
  • Assists in report generation for recurring and ad hoc reporting
  • Provides backup support for Category Merchants, ACMs, Marketing Team, and other WFM Team Members
  • Prepares documentation and reports for cross-functional teams
  • Recognizes gaps in promo process and recommends actions to improve
  • May act as a representative of Promo Team and Merchandising Team in larger meetings with other stakeholders

Education & Experience:

  • High school diploma and 2-4 years’ relevant experience.
  • Associates degree, technical college or some college course work preferred.
