The Position

Roche Diagnostics Corporation is looking to hire a Legal Operations Technology & Services Manager. This role is a chance for a strategic, innovative self-motivated individual with operations, technology, project management and
process optimization experience to apply their skills to a legal division working on a wide range of complex matters. The Legal Operations team enables each of the legal practice areas by delivering processes, systems and administrative support in an efficient and cost-effective manner. The candidate must have excellent collaboration and execution skills, plus experience building and maintaining strong cross-functional relationships with IT and other legal business partners. Strong understanding and experience with technology and other major legal department systems/process implementations preferred.

The Legal Operations Technology & Service Manager will perform traditional analyst functions and will have the opportunity to lead project implementations. This position will interact with key stakeholders to understand the business, identify opportunities, and help design and implement solutions to meet the business need. This role will provide support with a myriad of day-to-day operations and will maintain the Legal team's processes, systems and tools. This role requires an individual who excels in a dynamic, fast-paced environment. Successful candidates will be organized and able to manage competing priorities, as well as maintain excellent results and attention to detail. Candidates should have strong communication skills and not be afraid to take on challenging requests, think outside the box to problem solve and be willing to lend a helping hand.

Supports the Legal and Compliance team, and works under the supervision and direction of the Manager of Legal Operations.

Information Technology and Systems -- Directs and coordinates the development, design and optimization of the assigned or new technical information systems platforms and/or system components, such as infrastructure or applications. Conducts and prepares feasibility studies for new data processing applications or revisions to existing systems. Builds Apps and data flow maps, technology tool inventories and develops self-service tools to support the provision of Legal support to the Business. Creates dashboards and other tools for reporting purposes.

Communications - Develops and implements the Legal Department's strategic communications initiatives, e.g., newsletters, websites and presentations; ensures communications are meeting department needs; measures effectiveness and relevance. Supports educational programming in the Legal Department.

The opportunity

  • Partner with Head of Legal Operations to translate Legal strategies and goals into programmatic priorities and plans for legal technology and related systems/processes inclusive of Matter Management, Knowledge Management, Document Management, and Information Governance.
  • Identify, develop, and continuously re-assess a strategic outcome-driven technology roadmap to improve process and use of technology to maximize the efficiency and effectiveness of the legal function.
  • Provide project support for key initiatives and insight regarding emerging legal technology.
  • Possess a mature understanding of knowledge management practice, with ability to build and/or guide the development, adoption, and evolution of knowledge management strategies and practice.
  • Drive change management and communications plans to support the deployment and adoption of processes and tools across the department.
  • Oversee and strategically assess Matter Management, Knowledge Management, Document Management, and Information Governance systems and protocols.
  • Partner with Information Technology to drive technology solutions across the legal department and act as the primary liaison with Information Technology to align with the enterprise technology ecosystem.
  • Identify, create, and improve legal workflows, focusing on efficiency, scale, and quality control.
  • Source and implement legal technology and tools including identification and analysis of end-user business requirements and review of vendor market to find best fit tools and resources.
  • Drive strategic projects for the legal department and collaborate with cross-functional stakeholders.
  • Develop methodologies and analytics strategies to leverage data sources to address department and firm-driven business problem/questions.
  • Assist with the implementation and management of legal department metrics, benchmarking, and reporting.
  • Identify and implement methods for streamlining existing processes and increasing operational efficiencies within the legal department.
  • Conduct business process mapping and assessment in order to determine how legal department tools can be designed around existing processes or whether processes need to be altered to become more efficient.
  • Select and oversees implementation of new tools; explore ways to leverage existing or new tools to best fit legal department needs.
  • Ensure cross-functional alignment with other key company departments.
  • Assist with development, implementation, and enhancement of department processes.
  • Proactively seek ways to improve current processes to maximize productivity, workflow, and maximize the legal department efficiency.
  • Track and measure adoption and utilization of the legal department technology.
  • Manage the strategic direction, risks/escalations, and health of the Legal Technology Portfolio.
  • Manage retired systems library and knowledge base.
  • Manage the administration and project management of designated tools, applications, and system processes used within the legal department. Refine governance and resourcing model for system admin of technology platforms.
  • Analyze and document current processes and systems.
  • Identify pain points and efficiency opportunities.
  • Collect, document, and prioritize user requirements.
  • Research and identify technical/functional solutions that will meet business requirements.
  • Assist in the design and configuration of technical/functional solutions.
  • Coordinate efforts of technical teams to ensure that requirements are implemented correctly.
  • Partner with legal users during project implementation to execute test scripts/scenarios as part of user acceptance testing phase.
  • Train end users, as needed.
  • Provide administrative support for legal applications when needed.
  • Collect data and run reports to assist in business decisions.
  • Ad-hoc projects and general administrative support as required
  • Prepares systems/tool development cost estimates, budgets, and schedules. Prepares and presents project proposals to management and user departments.
  • Serve as point of contact for questions regarding Legal Department Technology and Tools.
  • Develop and update training materials, process manuals and job aids
  • Write, Design, Develop and Update/Maintain content on Legal Websites, TV Screens, Communications Campaigns, Legal Intranet
  • Create Newsletters, and PowerPoint Presentations


Who you are

  • Bachelor's Degree in a related discipline or equivalent education and work experience.
  • 5 years progressive experience within the diagnostics industry or other relevant progressive experience.


Preferred

  • Relevant experience in a Business Analyst role, preferably in the legal sector ( e.g., a law firm or corporate legal department operations role).
  • IT Experience using legal operations tools as well as legal research tools, such as Onit, iManage, LexisNexis or Westlaw
  • Built or scaled up a legal organization's or professional services firm's technology strategy and roadmap.
