Responsibilities:

  • Provide support for Federal and contractor employee on-boards, transfers, and off-boards
  • Assist with monitoring and tracking ITPOC & Logistics mailbox requests per procedures, and acknowledging, processing, following-up on, providing status updates and closing out customer requests for IT printer supplies/maintenance, IT equipment hardware, software and peripherals, monthly wireless refreshes, mailbox creation and increases, bridge lines, VTC set-up, space, and other HQ and TSIF Customer Service and facilities-related requests handled by ITPOCs
  • Manage task by training and delegating the tasks to the team and self accordance with bandwidth and availability
  • Lead tracker refinement and Daily Stand-Up meeting
  • Assist with escalation of requests to appropriate APM and IT partners
  • Assist with maintaining IT asset inventory information and documentation
  • Create SOP documentation when necessary 
  • Ensure updated information and documentation is accurate, complete, and logged/uploaded into internal APM databases as well as in TSA’s property management system of record
  • Assist with annual IT Asset Inventory and reconciliation of records documenting the location for all accountable IT assets
  • Assist with HQ and TSIF Customer Service support activities to include collecting and delivering parking permits, coordinating/distributing bulk paper supplies to copier/printer areas, organizing areas, coordinating office/cubicle moves and supporting administrative activities associated with minor construction and space re-modification projects
  • Assist with Space Planning efforts by tracking and maintaining office-wide seating requirements and space allocations
  • Provide bi-weekly floor plans updates for HQ and TSIF spaces and upload them to the iShare home page
  • Provide floor plan plotter copies for leadership when requested
  • Assist with monitoring printer and office supply inventories, notifying federal leads when inventory thresholds are met
  • Assist with ensuring printers/copiers are operable by replacing ink/toner cartridges and coordinating Office of Information Technology (OIT) repairs and replacements, when needed
  • Task Management : documenting customer requests as tasks in Excel and assigning them to the team and self, based on bandwidth and availability
  • Collaboration: working with the team and external teams, such as IT, to ensure task completion and accuracy
  • Documents and Reporting: Creating SOPs as needed, and pulling reports for management upon request

Requirements:

  • Bachelor’s Degree or 6+ years of Executive Administrative experience
  • 1-2 years of experience as an IT POC:
  • Government agency experience is a plus.
  • Managing a shared inbox for IT requests for new on-boards and off-boards, and updated equipment and/or office/cubicle spaces
  • Updating and maintaining an employee database
  • Expertise in Microsoft Excel and Microsoft Visio
  • Updating task lists and floor plans
  • Setting up and issuing GFE to new on-boards and off-boards (per the shared inbox requests)
