Billing Administrative Coordinator - Remote

Summary:
Support the Billing and Data Entry organizations through a variety of tasks. Complete daily, weekly, monthly, or quarterly reporting as well as gathering documentation for audits. Support workflow of invoices through daily assigning of work to staff and approving charge sheets. Track staff attendance and perform other administrative and support functions as needed.
Responsibilities:
- Resource Allocation - daily deal assignments and reassignments based on inventory levels/capacity and/or account specialization
- Daily LINK charge sheet approvals
- Maintenance of attendance/vacation/overtime tracking and reconciliation, and vacation sign-up and calendar logging for Billing and Data Entry departments
- Daily, weekly and monthly reporting assignments: rejected freight, completed deals, GIC ASA, currency, data entry throughput, unbilled, other as needed
- Monthly biller deal audit coordination: revenue recognition, month-end, quarter-end
- Internal audit support documentation assistance
- Supply ordering for department
- Basic specialized invoicing: pro bono, house jobs, other invoicing as needed
- Deal re-open request fulfillment
- Invoice copy request fulfillment
- Other billing and data entry support tasks as needed
- Position can be worked remote or within the office, but may require occasional on-site vacation coverage assistance in Lancaster (Steel Way facility) if appropriate.
Qualifications:
- HS diploma or equivalent with 1-2 years of relevant administrative/operational support in manufacturing operations or office environment directly related to the duties of the job, OR demonstrated ability to meet the job requirements through a comparable number of years of work experience.
- Requires good knowledge of general/standard administrative/manufacturing operations procedures and methods to successfully complete the duties of the job.
- Must have general knowledge of technology to include computers and software programs such as Microsoft Office, including proficiency in Excel and experience with vlookups and pivot tables.
- Must be familiar with applicable skills and procedures required to perform the duties listed in the job.
- Must have good oral and written communication skills sufficient to provide routine information, answer inquiries and/or refer calls.
- Requires good organizational skills, attention to detail and ability to solve problems related to duties of the job.
