The Admin Support Associate will support the Directors Team with administrative tasks such as travel, Change Advisory Board (CAB) administration, NAC Ops email account, travel planning, and presentations. A successful candidate has a positive outlook, is a team player with solid judgment; possessing the utmost discretion/confidentiality and has excellent time management skills.

The Role

  • Coordinating and executing domestic and international travel arrangements, including air, hotel and ground transportation for the Regional Controller and Process Administrators.
  • Handle the administrative tasks of CAB including, but not limited to scheduling meetings, coordinating committee members, and managing emails related to CAB.
  • Maintain calendar of tasks and ensure they are completed (i.e. quarterly audit reviews, Epic security review, Business Continuity Plan (BCP) review, direct bill accruals).
  • Processing detailed expense reports.
  • Producing accurate and properly formatted documents, PowerPoint presentations and Excel reports.
  • Maintain and update project register, as well as assisting with special projects as needed.
  • Create and distribute department surveys.
  • Update the organizational chart.
  • Providing general administrative support such as ordering of office supplies, fax and photocopying.
  • Attend meetings as requested to take meeting notes and distribute to the team.



The Requirements

  • High school diploma or equivalent required.
  • At least 2 years' experience in the NAC is preferred.
  • Strong organizational skills, ability to prioritize work and support several executives simultaneously.
  • Excellent interpersonal and communication skills, ability to interact with individuals at all levels of the organization.
  • A team player with solid judgment; possessing the utmost discretion/confidentiality, excellent time management skills, and understands the urgency of matters relating to the executive and the department.
  • Energetic with the ability to multi-task and handle pressure constructively, delivering effectively despite potential challenges.
  • Resourceful with strong problem-solving skills.
  • Strong technical skills including Word, Excel, PowerPoint and Outlook.
  • Individual that is self-motivated and presents themselves professionally.
  • Recognizes the urgency of assigned tasks and commits to personal overtime when necessary; ability to communicate well with staff, Mumbai, and senior management.
