We are seeking an Operations Support Assistant to assist with the coordination of daily operational activities, maintain accurate records and documentation, and support the efficient delivery of business processes to ensure smooth and effective operations across the organization.

JOB OVERVIEW:
The Operations Support Assistant provides effective administration support to the Team for the efficient operations of the Department and its Agents/Salesmen

JOB RESPONSIBILITIES:
1. Perform Data Entry and maintenance of Producer/Broker/Binding information and commission schedules on WEBSTAR, including scanning and uploading of supporting documents to the relevant producer account.
2. Provide support for the Administration of Agents’/Salesmen Registration/Licenses, prepare Agency/Salesmen Agreement Packages and maintain confidential producer files.
3. Review Customer Due Diligence forms from Agencies for completeness and accuracy and update Webstar where necessary.
4. Provide support to the Agency team by preparing various types of letters for a range of functions e.g. cancellation, commission entitlements, sales person tenure with the company.
5. Assist with Referrals from Agencies – Quotations/Renewals/Endorsements.
6. Provide support to the Department for Agency/Broker Meetings and Conferences & Events
7. Prepare and distribute monthly reports, training needs/requirements, meeting minutes and other documentation (presentations etc.).
8. Manage the Stationery and procurement Requisition (e.g. promotional items) for the Agencies and the department.
9. Provide Red Carpet Service to Agents/salesmen and the Clients on assigned Agents’ Portfolio. Monitor Agents satisfaction, build and maintain effective relationships; attending to all agent queries and giving support when requested.
10. Accompany Incorporated Agency team leader on visits to Incorporated Agencies
11. Liaise with TTII on CPD returns
12. Liaise with CBTT on status of applications
13. Assist with Agency audits.
14. To perform any other job- related duties as assigned by the Manager

EDUCATION & EXPERIENCE:
· 5 C.X.C. / CSEC passes including English Language and Mathematics.
· 2 A’ Level / CAPE passes.
· Pursuing C11 – Certificate Level
· 2 years working experience with at least one (1) year in a General Insurance environment

ADDITIONAL REQUIREMENT:
As a regulated entity with obligations under the Know Your Employee guidelines, a Certificate of Character is required.

PERSON SPECIFICATION:
The Operations Support Assistant must possess good organizational skills with a keen eye for attention to detail. He/she must be customer service oriented, be able to operate and contribute positively in a team-based environment and take initiative as evidenced by the ability to self-mange, organize and prioritize work. He/she will possess good written and oral communication skills.

Skills Required

  • 5 C.X.C. / CSEC passes including English Language and Mathematics.
  • 2 A' Level / CAPE passes.
  • Pursuing C11 - Certificate Level.
  • 2 years working experience with at least one (1) year in a General Insurance environment.
  • Certificate of Character (background check) required under Know Your Employee guidelines.
  • Experience with Webstar for data entry and commission schedule management.
  • Ability to scan, upload, and maintain supporting documentation and confidential producer files.
  • Good organizational skills and strong attention to detail.
  • Customer service oriented with ability to build and maintain agent/client relationships.
  • Ability to self-manage, organize, prioritize work and take initiative.
  • Good written and oral communication skills.
