The Account Reconciliation Operations Specialist is responsible for performing internal and external account reconciliations while meeting targeted service level agreements. This role requires the ability to deliver high-quality production results, manage team workflow and resource alignment, and consistently meet deadlines. The ideal candidate has a strong working knowledge of deposit account transactions, aged item tracking, positive pay capabilities, and checking and general ledger reconciliation standards, paired with excellent communication skills for working with internal and external customers.

Core duties include performing account reconciliations, distributing supporting documentation, initiating return items on appropriate transactions, balancing accounts and general ledgers, and making accurate adjusting transactions as needed.

Major Responsibilities

  • Monthly & Quarterly Reconciliation: Manage the monthly account reconciliation workload; perform quarterly internal account reconciliations and oversee annual escheatment processing for internal accounts. Execute quality control reviews to ensure accurate documentation and adherence to policies and procedures. Communicate with business lines and account officers on customer support and issue tracking.
  • Training & System Proficiency: Train alongside team members on daily, weekly, and monthly functions, including Positive Pay Exception, Corporate, Municipal, and Internal Account Reconciliations; the ACH segment of Federal Reserve Account Reconciliation; and stop payment requests, reissues, and voids for Money Orders and Treasurer Checks. Stay current on process changes and rollouts. Maintain proficiency in business line systems, applications, regulations, and industry standards. Ensure full compliance with the Bank's Information Security Policies regarding customer and bank information.
  • Positive Pay & Compliance : Conduct positive pay and final account analysis routines for all subscribed customers. Ensure documentation and standard operating procedures reflect the most current policy updates and regulations.
  • Core System Expertise : Maintain technical knowledge of the Bank's core deposit system functions and related account reconciliation modules. Stay informed on core system releases and their impact on reconciliation functions. Ensure core processing routines are accurate and complete, escalating issues to management as needed.
  • Special Projects & Cross-Training : Perform related and unrelated duties as assigned. Support special projects such as mergers, FDIC audits, internal and external audits, BCM maintenance and testing, and process improvement initiatives. Assist management with the Annual User Review and participate in Operations cross-training.

Education and Experience

  • Bachelor's degree or related knowledge/skills gained through experience required
  • 3-6 years of bank operations experience required
  • Demonstrated experience independently managing an efficient workflow

  • Effective communication, organizational, writing, and interpersonal skills
  • Proficiency in FIS, Account Reconciliation software, and Microsoft Office Suite
