Job Description Summary

The Operations Specialist supports the operational effectiveness of Cushman & Wakefield’s Atlanta office by partnering closely with the Market Operations Leader (Senior Operations Manager) and providing direct administrative and operational support to the Managing Principal and market leadership. This position plays a critical role in ensuring a consistent, well-managed office environment and in enabling day-to-day business execution across the market.
The Operations Specialist helps coordinate core office operations including facilities and workplace services, vendor and purchasing support, meeting and event logistics, communications and administrative coordination, and select financial and data management activities. The role requires sound judgment, strong attention to detail, and the ability to prioritize and deliver in a fast-paced, professional services environment.
This role does not include direct people management responsibilities. It offers broad exposure to market operations and can serve as a strong foundation for future growth within Market Operations for high-performing individuals.

Job Description

Key Responsibilities

Operational Support & Office Management

  • Partner with the Senior Operations Manager to support smooth day-to-day office operations, including facilities coordination, vendor management, and workplace services.
  • Coordinate office services and maintenance requests; support office moves, space planning updates, and day-to-day issue resolution with building management and internal partners.
  • Manage ordering and inventory of office supplies and equipment; support purchasing workflows and vendor setup/maintenance as needed.
  • Support business continuity planning and emergency preparedness activities in coordination with market leadership.

Executive & Leadership Support

  • Provide administrative and operational support to the Managing Principal and market leadership, including calendar coordination, meeting logistics, travel arrangements, and expense reporting.
  • Prepare and format professional communications and materials for internal distribution (e.g., announcements, agendas, meeting notes, and coordinated updates) as needed.
  • Serve as a reliable, high-trust partner by exercising discretion and maintaining confidentiality when handling sensitive information.

Meetings, Events & Stakeholder Coordination

  • Coordinate logistics for internal and client-facing meetings and events, including room scheduling, catering, vendor coordination, and day-of execution support.
  • Serve as a point of contact for internal stakeholders and service partners to facilitate timely communication, follow-through, and issue resolution.
  • Assist with onboarding logistics for new hires (Day 1 readiness, workspace setup coordination, office introductions) in partnership with HR and the Senior Operations Manager.

Financial, Procurement & Data Support

  • Process invoices and expense items, support coding and routing approvals, and assist with budget administration using systems such as Workday and Salesforce/CRM platforms.
  • Maintain accurate office rosters, distribution lists, and operational trackers; support data accuracy in CRM and related reporting tools as applicable.
  • Prepare routine and ad hoc operational reports or summaries for leadership (e.g., vendor spend tracking, purchase logs, office services metrics).

Project & Process Support

  • Support operational projects and process improvements led by the Senior Operations Manager, including documentation of office routines, checklists, and service standards.
  • Collaborate with Operations peers in other markets to share best practices and help implement consistent processes across the region.

Compliance & Professional Standards

  • Operate in alignment with firm policies and standards; maintain professionalism and a customer-service mindset in all interactions.
  • Support compliance-related tracking as needed (e.g., broker/staff lists, credential reminders, required office documentation) under the direction of the Senior Operations Manager.
Qualifications
  • Bachelor’s degree or equivalent experience preferred.
  • 3–5 years of administrative, operations, or executive support experience in a professional services or corporate environment.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience working with enterprise systems such as Workday, Salesforce, and CRM platforms preferred.
  • Strong organizational, project coordination, and prioritization skills with the ability to manage multiple workstreams and deadlines.
  • Excellent written and verbal communication skills; strong stakeholder management and customer service orientation.
  • High attention to detail, sound judgment, and ability to maintain discretion with sensitive information.
  • Experience supporting meetings/events, vendor coordination, and process improvement initiatives is a plus.
  • Desire to grow into an Operations Leadership role based on individual development planning.

This position requires on-site presence at minimum four (4) days weekly, working in office with colleagues to maximize collaboration and efficiency.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $ 68,000.00 - $80,000.00
