We are looking for an Operations Specialist  to join our Reliability Services group.  This role serves as a central coordination point between Area Service Managers, Regional Project Managers and Customer Service to ensure accurate, real-time scheduling, resource alignment, and execution readiness. In addition, the Operations Specialist supports operational performance tracking, audits, cost optimization initiatives, and accurate project closeout documentation.

Essential Duties and Responsibilities: In addition to the essential job functions described below, all associates will perform duties requested by management.

 

Operations Scheduling & Coordination

  • Own and maintain the master operations schedule, ensuring accuracy and real-time updates.
  • Coordinate closely with operations leaders to gather updates on job schedules, crew availability, date changes, and mobilization details.
  • Track and update crew assignments, mobilization locations, and job timelines to support efficient execution.
  • Document equipment requirements and ensure proper alignment with scheduled work.
  • Proactively identify scheduling conflicts or resource constraints and escalate as needed.

Performance Tracking & KPIs

  • Assist in the development, tracking, and reporting of key performance indicators (KPIs) related to operations, including labor utilization, equipment performance, service quality, and execution efficiency.
  • Maintain accurate operational data to support performance analysis and decision-making.
  • Support continuous improvement initiatives by identifying trends, gaps, and opportunities from KPI data.

Audits & Accuracy

  • Periodically perform audits to ensure accuracy of operational reporting, scheduling data, and execution details.
  • Validate that field execution aligns with planned schedules, crew assignments, and resource allocations.
  • Help identify and correct inefficiencies or inconsistencies in processes and reporting.

Cost Optimization & Special Projects

  • Support special projects focused on optimizing operational efficiency and reducing spend.
  • Contact carriers to obtain and negotiate improved transportation rates.
  • Engage with vendors to request pricing, compare options, and support equipment procurement decisions.
  • Assist in negotiating hotel blocks and accommodation for large, multi-week projects.
  • Provide data and administrative support for broader operations optimization initiatives.

Documentation & Project Closeout

  • Assist in ensuring accurate and complete paperwork upon project completion, including Time & Materials (T&M) sheets and supporting documentation needed for Project Summary Reports.

Other

  • Professionally represent the company at all times ensuring quality customer service
  • Abide by all policies, rules, and regulations of the company including all applicable safety rules, regulations, and procedures
  • Support corporate programs, goals, and initiatives of the company
  • Maintain communication with management with regards to problems and opportunities in the business
  • Work overtime as needed

Knowledge, skills, and abilities:

  • Minimum education required-- high school diploma and related & relevant work experience
  • Strong organizational and scheduling skills with high attention to detail
  • Ability to manage multiple priorities and adapt quickly to changing schedules
  • Strong communication skills and ability to work cross-functionally with operations leaders, technicians, and support teams
  • Analytical mindset with experience tracking KPIs or operational metrics preferred
  • Comfortable contacting vendors, carriers, and service providers to gather information and negotiate pricing
  • Computer skills, Word, Excel, Powerpoint
