Position Overview

The Manager, Operations is responsible for day-to-day management of site operations, financial and project management needs. The focus of the role is oversight and management of key site processes and national organizational standards and requirements which drive site operatives. This Operations Manager works in collaboration with site leadership and staff to further City Year Site's mission and service.

Job Description

Site Finances
Manage site corporate accounts (Walmart, BoA, Amazon, UPS, FedEx)
BoA-Making sure all receipts are collected, transactions verified, and policies
adhered to.

Amazon coordinating orders, deliveries and tracking of items purchased for
ACMs etc.

Responsible for holding Walmart card and site petty cash.
Serve as backup for Ops Coordinator in purchasing office supplies and materials.
Support IMs and Teams with managing budgets and report to Director of People and
Operations and Impact Directors as requested.

Support Development team with tracking restricted funding spending.
Responsible for accounts payable which includes vendor relations, vendor creation,
and invoice processing in cyresource.

Attending monthly finance calls and staying abreast of most up to date policies.
Providing annual trainings/refreshers for staff on various finance policies.
Support Executive Director with reimbursements.
Onboard new staff to site finance processes and policies.

Site ITS
Serve as site IT point -attend weekly office hours and all HQ IT cohort calls
Manage tech support and asset inventory (laptops, mobility kits, accessories, etc.)
Manage contacts and relationships with technological support systems to ensure all
site equipment is up to date and working efficiently

Serve as site content coordinator for cyconnect
Manage site wide transition to new sharepoint.
Provide support to make cyconnect the Detroit intranet for sharing site wide
documents, content, policies, etc.

Build and maintain CYD’s organizational structure and record keeping on
cyconnect

Support corps members’ ITS accessibilityensure connectivity, access to
hardware/software, and efficient collection process.

Create and administer an ITS and site process satisfaction feedback loop.
Set best practice policies for site wide use of various online communication platforms
(teams, email, cyconnect)

Support staff members in effectively adapting Teams, cyconnect, and outlook. Provide
frontline support whenever office network issues occur and resolve.

 

Site Safety

• Maintain site first aid kits and supplies

• Ensure office safety measures are functioning as needed

• Manage physical office keys inventory and their assignment

• Support operations team as needed

• Support other departments in maintaining safety standards in City Year controlled spaces as needed

Site Operations  

  • Support managing department Onboarding site page and the housekeeping of onboarding documents 

  • Works with the DPO to manage the upkeep of site guidelines 

  • Support Ops Coordinator in ensuring the building’s policies are in order, report building maintenance requests as needed, ensure office is cleaned as needed.  

  • Support Operations Coordinator in IT support for all internal and external events using the City Year office space (including board meetings, L&Ds, stakeholder meetings, team meetings, etc.) 

Uniform Distribution 

  • Support Operations Coordinator in uniform management.
