PositionRole Overview
We’re looking for an Operations Manager (m/f/d) to coordinate and support partner-related activities across the organisation, ensuring effective communication, alignment, and consistency in all partnership processes. You will act as a central point of contact for partners on operational and procedural matters, facilitating smooth collaboration and maintaining accurate and up-to-date partner records.
In this role, you will oversee partner onboarding and status management processes, coordinate the lifecycle of Project Agreements, and support call management and change request activities. You will also contribute to the monitoring and continuous improvement of project and portfolio management practices by developing guidelines, tools, and training materials. A key focus of the role is to enhance operational efficiency by standardising processes, improving transparency, and driving structured, scalable workflows across partner-related operations.
Key responsibilitiesPartnership Management and CoordinationCoordinate and support the effective management of the partners, ensuring clear communication, alignment and consistency across partnership activities.
Act as a central point of contact for partners on operational and procedural matters
Structure and organize communication and alignment between partners and internal stakeholders
Coordinate partner status changes and related administrative processes
General Assembly partner management & support, support the coordination of partner-related topics
Coordinate partner onboarding processes and manage partner status updates in line with organisational requirements.
Facilitate partner onboarding processes and documentation and approval workflow
Ensure accurate and up-to-date partner records in collaboration with relevant teams
Oversee and coordinate the lifecycle of Project Agreements to ensure efficiency, clarity and compliance.
Coordinate preparation, review and signature processes of Project Agreements in collaboration with other relevant teams (e.g. support through legal for PA draft itself)
Provide procedural guidance to partners on contractual aspects
Ensure alignment with internal policies and timelines
Contribute to the improvement, standardization, and implementation of project and portfolio management processes.
Develop practical guidelines, templates, FAQs, and training materials to strengthen service delivery and operational consistency
Support call management activities, including process planning, implementation, eligibility checks, reporting, and related operational coordination.
Assist with change request reviews and other control activities linked to project execution.
Process Improvement and Operational EfficiencyContribute to the continuous improvement of partner-related processes and workflows
Identify opportunities to streamline processes and improve efficiency
Support the implementation of structured and consistent operational practices
Contribute to improving transparency and clarity in partner-related workflows
Proven experience in operations, project coordination, or partnership management roles
Strong ability to manage and coordinate complex, multi-stakeholder processes
Experience with partner or stakeholder management in structured environments
Familiarity with onboarding processes, administrative workflows, and status tracking
Experience supporting contract or project agreement coordination processes
Experience working with EIT, Horizon Europe, or other publicly funded programmes and multi-partner project environments
Excellent organisational skills with high attention to detail and accuracy
Strong communication skills with the ability to act as a central point of contact
Ability to develop and improve processes, guidelines, and operational tools
Experience working with CRM, project management, or workflow systems
