Summary: We are seeking a dynamic and experienced Operations Manager to enhance our operational efficiency. The ideal candidate will have a proven track record of managing complex fragrance production processes, driving continuous improvement in delivery, and ensuring an exceptional sensory experience for our customers.
As our KAYALI Operations Manager for the America's, you will be instrumental in supporting strategic initiatives, optimizing day-to-day operations, and fostering cross-functional collaboration within our team.
Essential Duties and Responsibilities:
Inventory Management
- Plan, manage, and execute quarterly cycle forecasting with the team.
- Conduct daily checks on inventory counts to ensure system alignment with physical stock.
- Oversee the annual comprehensive stock take of all products to ensure inventory accuracy and compliance with industry regulations.
Logistics Coordination
- Serve as the main point of contact with KAYALI America’s logistics team, coordinating on storage and logistics
- Streamline processes for efficient receipt and dispatch of goods, maintaining quality and preserving the integrity of volatile compounds.
- Oversee order processing of products, ensuring accurate and timely fulfillment while addressing issues related to shipping, shelf life, and batch codes.
Client Relations
- Act as the primary contact for B2B fragrance partners, managing custom fragrance orders, inquiries, and ongoing communication to support strong client relationships in the perfume industry.
Performance Monitoring
- Monitor and evaluate key performance indicators (KPIs) for the fragrance warehouse to maintain service levels and olfactory quality standards.
- Conduct monthly meetings with third-party logistics partners to review performance in handling delicate fragrances, resolve issues, and enhance processes.
Financial Oversight
- Reconcile invoices with the local finance team monthly, ensuring accuracy in fragrance material costs and timely processing to maintain budget alignment.
- Bachelor's degree in Chemistry, Perfumery, Business, or a related field.
- 5-7 years of operations management experience in the fragrance or beauty industry.
- Strong expertise in ERP systems and proficiency in Excel, with the ability to analyze fragrance formulation data and generate reports.
- In-depth knowledge of fragrance warehouse management and 3PL processes specific to handling sensitive aromatic materials.
- Excellent communication skills and a refined olfactory sense, with keen attention to detail in scent profiles.
- Ability to work cross-functionally with perfumers, chemists, and external stakeholders to drive results in fragrance creation and delivery.
