We are seeking a highly organized and versatile Operations Generalist to join our team. As an Operations Generalist, you will play a critical role in supporting the efficient and effective functioning of Healthee. You will be responsible for a wide range of operational tasks and projects ensuring smooth day-to-day operations and contributing to the overall success of the company. This is a diverse role that requires excellent problem-solving skills, strong attention to detail, and the ability to thrive in a fast-paced environment.
Responsibilities:
Admin Support and Office Management:
Manage the day-to-day operations of the office, ensuring a safe, organized, and comfortable work environment.
Oversee office supply inventory, order and replenish as necessary, and maintain vendor relationships.
Coordinate office maintenance, repairs, and renovations, liaising with contractors and service providers. Develop and implement office policies, procedures, and guidelines to optimize efficiency and productivity.
Manage office space, including layout, organization, and maintenance..
Ensuring a safe and comfortable working environment.
Provide administrative and logistics assistance to teams and managers, including supporting cross sites events from all hands meetings, offsites and teams collaboration events.
Prepare and distribute internal communications.
Collaborate with the vendors to monitor and reconcile office expenses, invoices, and budgetary allocations.
Assist in payroll processing and maintain employee records, ensuring compliance with relevant regulations and policies.
Managing office supplies, ordering new stock, and maintaining inventory.
Handling incoming and outgoing mail, packages, and courier services.
Operational and Projects support:
Cross-functional collaboration: Collaborate with various teams, including finance, Product, human resources, and marketing, to ensure seamless coordination and alignment of operational activities. Act as a liaison between different departments to resolve operational issues and streamline processes.
Project management: Assist in the planning, coordination, and execution of operational projects. Track project timelines, milestones, and deliverables, ensuring successful project completion within allocated resources and timeframes.
Vendor management: Oversee relationships with external vendors and suppliers. Evaluate vendor performance, negotiate contracts, and monitor service levels to ensure compliance with company standards and objectives.
Training and documentation: Develop training materials and conduct training sessions to educate employees on operational processes, policies, and systems. Maintain up-to-date documentation of standard operating procedures.
Process Optimization: Identify opportunities for process improvement across different operational functions. Develop and implement streamlined processes to enhance overall efficiency.
People Ops Support:

Act as a point of contact for employee concerns and conflicts.

Requirements:
Bachelor's degree in business administration, operations management, or a related field. Relevant certifications or equivalent experience will be considered.
Proven experience in operations, project management, or a similar role.
Project Management skills and knowledge.
Strong analytical and problem-solving skills, with the ability to gather and interpret data to drive operational improvements.
Excellent organizational and time management abilities, with the capacity to manage multiple tasks and prioritize effectively.
Exceptional communication skills, both written and verbal, with the ability to collaborate and build relationships with stakeholders at all levels of the organization.
Proficiency in using productivity and project management tools/software.
Detail-oriented mindset with a commitment to accuracy and quality.
Flexibility and adaptability to work in a fast-paced and rapidly changing environment.
Demonstrated ability to work independently as well as in a team, taking initiative and showing a proactive approach to problem-solving.
