THE ROLE

We are hiring an Operations Coordinator to support the Head of Operations. This is a full-time, entry-level role for someone who wants to learn how a hardware company runs, from the factory to the customer.

Reporting directly to the Head of Operations, you will act as their right hand on operations: keeping inventory, suppliers, shipments, and reporting on track, and making sure commitments made get done.

WHAT YOU WILL DO
  • Coordinate with customer support, sales, procurement and the warehouse to support the custom product order process from order confirmation to delivery.

  • Support weekly Amazon FBA replenishment: build the order, confirm inventory quantities, and review with Head of Operations for approval of shipping carton labels.

  • Assist the Head of Sales by tracking action items from meetings, and follow up directly with owners on status and deadlines until each one is closed

  • Track product development status, collect prototype and production quotes, sample shipments, follow up on action items and keep the product development tracker current.

  • Coordinate monthly sales and operations planning (S&OP) readiness across departments and schedule meetings accordingly.

  • Write and maintain SOPs for recurring operations workflows and flag any workflow that has not been written down yet.

  • Coordinate in-house sample production, prioritize production schedule maintain inventory levels and document most effective customization parameters.

  • Maintain one running list of open items with owner and due date and flag anything overdue or at risk.

  • Check vendor invoices and forward them to accounts payable and receipts to our expense system

  • Set up new SKUs, bundles, and maintain item master data in our document control database.

  • Handle office facilities requests, including cleaning and other vendors and landlord requests

  • Draft decks, spreadsheets, and briefs for review

  • Order lab and office supplies and keep them stocked

WHAT YOU WILL LEARN
  • How a hardware company runs operations end to end, working directly with the Head of Sales and Operations

  • Supply chain and procurement with overseas manufacturers, from purchase order to delivered goods

  • 3PL fulfillment and inventory planning across Shopify, Amazon, and TikTok Shop

  • How operations reporting drives purchasing and planning decisions

    WHAT WE ARE LOOKING FOR
Required
  • 1 to 3 years of experience in an operations, logistics, coordinator, or executive assistant role, ideally in a fast-moving environment; also open to recent graduates and students in their final year of study with relevant internship or part-time experience

  • Interest in supply chain, logistics, or manufacturing, through coursework, internships, or work experience

  • Strong proficiency in Excel or Google Sheets: comfortable with formulas, pivot tables, and building trackers from scratch

  • Detail-oriented and organized, comfortable juggling multiple trackers, deadlines, and follow-ups at once

  • Comfortable following up with people, including holding others accountable to deadlines they have committed to

  • Clear written communicator who can draft a professional email or message without heavy editing

  • Reliable, shows up, and follows through without needing reminders

  • Comfortable asking questions and flagging problems early rather than guessing

  • Able to lift and pack boxes up to 25 lbs

Nice to have
  • Experience with Shopify, Amazon Seller Central, or a 3PL or warehouse management portal

COMPENSATION & DETAILS
  • $29.00 to $34.00/hour

  • Full-time, entry level

  • Onsite at dot.cards HQ in Culver City, CA

  • Start date: as soon as we find the right person

  • Reports to: Head of Sales and Operations
