The Operations Coordinator will serve as the dynamic leader of our non-academic functions, ensuring a welcoming main office experience while managing the critical compliance, logistical, and purchasing systems that power BSA.

Our Operations Coordinator will be a responsible member of a dedicated team focused on systems that are compliant, welcoming, and operationally seamless.  Together, we have a powerful opportunity to transform BSA for the students and families we serve.


The Opportunity

BSA’s Operations Coordinator will have the opportunity to:

  • Build. Establish, organize, and maintain highly efficient school supply, purchasing, and tracker systems that keep the school's nonacademic resources seamless and within budget.
  • Lead. Coordinate daily main office operations, manage staffing needs, and ensure a highly welcoming and supportive environment for students, families, and visitors.
  • Reimagine. Create innovative, streamlined logistics for school trips and events, demonstrating how seamless behind-the-scenes support enriches the community school experience.
  • Integrate. Align compliance efforts with school-wide safety and student records standards, working closely with NYC and Charter agencies to keep the school fully prepared and compliant.
  • Transform. Partner closely with the Director of Operations to drive a successful organizational turnaround, turning operational challenges into structured, repeatable successes.
Core ResponsibilitiesMain Office Administration & School Culture Support 
  • Oversees daily main office operations, ensuring a welcoming environment and exceptional customer service delivery for students, families, and staff.
  • Partner with the Admissions & Parent Coordinator on student recruitment and enrollment and assist the Director of Operations with new staff onboarding.
  • Monitors staff attendance and accurately inputs time and attendance data to ensure efficient payroll processing.
  • Manages operational, logistical, and catering support for school activities and special events (recesses, graduation, parent-caregiver conferences, and fundraisers).
  • Oversees common spaces, coordinates with facilities staff to ensure cleanliness, and submits facility work orders as needed.

NYC & Charter Compliance & Student Records
  • Manages official enrollment, discharges, and student daily attendance according to NYC guidelines utilizing ATS.
  • Collects and secures all returning student records (including medical forms, state immunization compliance, media consents, and blue cards) ensuring strict alignment with FERPA guidelines.
  • Manages the distribution, tracking, and reporting of OPT/ATS OMNY Cards and single-trip transit cards.
  • Supports the Director of Operations in executing emergency compliance readiness, including Evacuation, Shelter-In, and Lockdown drills.
Logistics, Purchasing & Vendor Relations
  • Prepares purchasing orders, processes invoices/RFPs in a timely manner, and maintains vendor files in strict accordance with fiscal policies.
  • Creates and oversees purchasing trackers to closely monitor active spending against the school's budget.
  • Manages the school supply distribution network, inventory tracking, and places orders via the NYSTL/FAMIS procurement sites.
  • Directs end-to-end operational planning for school field trips, including securing approvals, tracking permission slips, managing rosters, and coordinating transportation.
  • Assists with meal count tracking and billing documentation in partnership with The Door.

  • Fully standardized, predictable, and repeatable administrative, compliance, and purchasing workflows, turning prior operational challenges into seamless day-to-day successes.
  • Achieved and maintained 100% compliance with NYC, charter, and state regulations for ATS enrollment, student records, health immunizations, and emergency readiness.
  • Established a warm, highly professional, and customer-service-oriented main office experience that consistently supports students, families, and staff.
  • Served as a key partner to the Director of Operations, helping stabilize the school's non-academic operations and successfully supporting the school's broader cultural and systems reset.

 

Qualifications and Professional Requirements

Required

  • Bachelor’s degree in a related field (e.g., Business Administration, Education Administration, Public Policy) or equivalent professional experience.
  • Strong, proven track record in establishing, organizing, and maintaining complex tracking systems (such as purchasing trackers, inventory systems, or compliance records).
  • Exceptional written and oral communication skills, with a demonstrated ability to deliver high-quality, professional customer service to students, families, and external stakeholders.
  • Proficiency with NYC Department of Education (NYCDOE) systems, specifically ATS (Automated System) for tracking student enrollment, discharges, and attendance.
  • Minimum of 3–5 years of professional experience managing operations, logistics, or administration in a fast-paced, complex environment.

Preferred

  • Direct experience working in an NYC charter school, NYCDOE public school, transfer school, or a non-profit organization serving over-age, under-credited youth.
  • Prior experience managing student records in strict alignment with FERPA guidelines, managing immunization compliance, or coordinating OPT transit systems (OMNY Cards/single-trip cards).
  • Familiarity with school fiscal policies, purchase order systems, or submitting facilities maintenance requests (such as RemedyForce).
  • Prior experience operating successfully within an organization undergoing a systems turnaround, cultural reset, or rapid stabilization phase.

Skills Required

  • Bachelor’s degree in a related field such as Business Administration, Education Administration, or Public Policy, or equivalent professional experience.
  • Proven experience establishing, organizing, and maintaining complex tracking systems, including purchasing, inventory, or compliance systems.
  • Exceptional written and oral communication skills and demonstrated professional customer service ability.
  • Proficiency with NYC Department of Education ATS for student enrollment, discharges, and attendance.
  • Three to five years of professional experience managing operations, logistics, or administration in a fast-paced, complex environment.
