Te Whiwhinga mahi | The opportunity

We are seeking an organised and proactive Operations Coordinator to support the delivery of programmes, workshops and events within Te Pūtahi Mātauranga | Faculty of Arts and Education. Working closely with project leads and a wider professional services network, you will play a key role in ensuring operational and administrative processes run smoothly and efficiently.

In this role, you will:

  • Coordinate programme and workshop logistics, including registrations, materials, CRM data and participant communications
  • Support the delivery of online and in-person events, including scheduling, set-up, and stakeholder coordination
  • Provide financial and supplier administration support, including purchasing, reconciliation and compliance with University processes
  • Assist with course and content administration, reporting and evaluations
  • Provide general project and operational support, including meeting coordination and travel bookings

This is a part-time (0.6FTE / 22.5 hours per week), fixed term position until the end of December 2026.
Occasional weekend work may be required, depending on programme and event needs.

The salary range for this role is $56,400 - $71,000 per annum (pro rata for part-time hours) depending on skills and experience relevant to the role. 

As this role involves delivering workshops and providing on-site support, travel to locations within Auckland and occasionally outside the region is required, therefore you must have an NZ Drivers License.

To succeed in this role, you will bring:

  • Proven experience in an operations, administration, project or event coordination role
  • Strong organisational skills, attention to detail, and the ability to manage competing priorities
  • Confidence working with CRM systems, digital platforms and Microsoft Office
  • Excellent interpersonal and communication skills, with the ability to build effective working relationships
  • A proactive, flexible approach and willingness to support team members as needed

Advantageous:

  • Bilingual capability in Chinese and English, particularly to support translation of reports
