Job Summary
The Operations Coordinator assists managers in day-to-day coordination and ensures smooth operations. Serves as a point of contact and link between employees and internal departments. The role requires exceptional time management skills, excellent communication abilities, and ability to manage and prioritize tasks effectively and efficiently.
Job Responsibilities

Partners with department leads to send out timesheet reminders, review timecards for accuracy, track and document PTO requests and submit to payroll.

Manages facilities, supplies, and visitor requests, making sure they are completed in a timely manner.

Responds to tech questions that arise and troubleshoots issues with technology as needed, escalating to IT when appropriate.

Audits and manages asset tracking documents.

Works with the Operations Manager and department leads for new hire on-boarding plans and assists in inputting employee schedules into TimeClock Plus.

Conducts on-boarding for all new hires, submits tech form, badge requests for internal access and completes new hire checklist.

Partners with the wiki team to maintain and update clinic resources and communications, including bi-weekly clinic updates.

Assists the Operations Manager with the facilitation of clinic events, classes, groups, tours, and meetings.

Assists Credentialing Specialist and partners with department leads in maintaining staff compliance and credentials.

Maintains and updates employee photos and bios on the team page of website and portal.

Updates MD on call schedule via 8x8 system.

Provides administrative support to clinic management staff as needed.

Performs other duties as assigned.
Required Qualifications

Minimum 1 year experience working in fast paced clinic or similar job
-
High school diploma/GED required

Experience in office management or administrative role

Excellent communication and people management skills

Ability to multitask and prioritize

Self-starter with strong problem-solving skills

Excellent organizational and time management skills
Preferred Qualifications

Bachelor’s degree

Creative and flexible and effectively manages obstacles

Physical Job Requirements
-
May require standing, walking and sitting for extended amounts of time.

Occasionally lift and carry items weighing up to 50 lbs.

Manual and finger dexterity and hand-eye coordination

Includes full range of body motion including potential of handling and lifting patients.

Requires corrected vision, hearing and speech within normal ranges. Must be able to effectively communicate with patients and team members.
The base pay range for this position is $27.55 to $36 per hour. Pay range may vary depending on work location, applicable knowledge, skills, and experience. This position will be eligible for a comprehensive benefits package that includes Medical Insurance, Dental Insurance, Vision Insurance, Short- and Long-Term Disability, Life Insurance, Paid Time Off and 401K.
