We are seeking a self-motivated, service-oriented Operations Associate with experience in the POOL/AQUATICS industry to support branch operations with professionalism, urgency, and attention to detail. This role supports daily operations while also managing freight tasks such as quoting, resolving shipping issues, and keeping accurate records. Strong communication, customer service, and problem-solving skills are essential to ensure smooth, efficient operations and exceptional client support.
What You’ll Do:
- Freight Quotations: Providing cost-effective shipping quotes based on weight, dimensions, and freight class, and maintaining documentation for up to three months.
- Daily Freight Manifests: Printing and distributing freight manifests each morning.
- Order Checks: Assisting in checking orders.
- Customer Service: Handling customer inquiries regarding order status, proof of deliveries, damages, and shortages, ensuring same-day responses and follow-ups.
- Delivery Issues: Resolving shipment delivery problems caused by incorrect contact information or addresses and verifying additional charges if applicable.
- Freight Claims: Filing claims for damage or shortages, including gathering backup documentation, notifying carriers immediately, and arranging shipments when necessary.
- Other duties - Order processing, day-end balancing, assisting and support with all other areas of running the branch.
Qualifications:
- Prior experience in the POOL/AQUATICS industry or similar industry strongly preferred.
- Product knowledge, familiarity with freight quoting, manifests, claims, and delivery issue resolution or if from a similar industry, ability to learn quickly.
- Customer Service Skills, proven ability to handle inquiries and resolve issues promptly and professionally.
- Relevant purchasing and inventory management experience.
- Must be organized, detail-oriented with minimal error rate, computer literate with knowledge of Microsoft Excel, Word and Outlook
- Dedicated to service and sales excellence by developing lasting customer relationships.
- Have excellent verbal and written communication, organizational and follow-up skills.
- Knowledge of an ERP system is highly preferred. Agility software preferred but not required as it is easily learned by someone who has database experience.
