Job Description

Buscamos incorporar un/a Operations Assistant. Su rol será de asegurar los procesos administrativos y financieros del área de operaciones, brindando soporte a la dirección y facilitando una experiencia organizativa fluida para todo el equipo, incluyendo nuevas incorporaciones.

Responsabilidades Clave:

Soporte a Operaciones

  • Asistencia Operations Manager. Listados de personal. Periodos de prueba. Gestión reuniones extension contratos.
  • Quality: Gestionar report Semanal, seguimiento red flags
  • Unbilled – Revisión Mensual. Gestionar reporte mensual.
  • SOR Mensual: Compilar la información económica del NSR (Net Service Revenue) de las unidades ARC, BE y PMCM.
  • Workbench: Asistir en proyectos operativos mediante el uso de la herramienta Workbench.
  • Apoyar en el análisis de datos y visualización de KPIs.

Operaciones Administrativas

  • Supervisión del registro de asistencia (Timekeeping) y coordinación operativa en periodos vacacionales.
  • Gestión de subcontrataciones: recopilación de documentación, contratos y seguimiento en curso.
  • Administración de la plataforma CTAIMA: gestión de accesos y control de documentación vigente.
  • Seguimiento de órdenes de compra (POs) y coordinación para garantizar continuidad de servicios.
  • Apoyo en procesos de recursos y contrataciones temporales (TSCs).

Gestión de Proveedores en plataformas internas: COUPA, ORACLE, CTAIMA, RISK RATE, WORKBENCH, MARKVIEW

  • Alta de proveedores en las plataformas: verificación de datos y resolución de incidencias.
  • Supervisión de facturación: validación de datos, conciliación con servicios/productos prestados, y coordinación con administración y finanzas.

Supervisión administrativa al apoyo en Proyectos y Herramientas

  • Configuración de carpetas de proyectos en Microsoft Teams: estructura, permisos y acceso.
  • Colaboración en la preparación y seguimiento de visados internacionales.

Supervisión administrativa a la gestión del Equipo

  • Mantenimiento actualizado del listado de personal del equipo B+P.
  • Coordinación del proceso de onboarding para nuevas incorporaciones.
  • Organización de eventos internos: planificación logística, comunicación y seguimiento.

Soporte administrativo (viajes y notas de gastos) comité de dirección.

Qualifications

Habilidades requeridas

  • Al menos 7 años de experiencia en un puesto parecido
  • Nivel alto de inglés imprescindible
  • Capacidad de organización y gestión del tiempo
  • Habilidades de comunicación efectiva
  • Conocimiento en herramientas de gestión como Teams, Excel y Power BI
  • Capacidad de supervisión y liderazgo
  • Atención al detalle
