Job Description
Operations & Automation Specialist
Reports to: Program Management Director
Experience level: 1–2 years
Join the Program Management Team to organize and run a portfolio of cross-office operations on the account - first by managing them manually, then by automating them through Power Platform solutions. Once an operation is automated, the role keeps the momentum going by identifying and delivering the next wave of automation opportunities across the account.
Current in-scope operations include the inventory of original documents, escalation tracking, and identification and tracking of operational flow failures, with more added over time.
Key Responsibilities
1. Account Operations & Trackers
Own end-to-end management and review of cross-office operations - including the original documents inventory, escalation tracking, operational flow failure identification and tracking, and recurring log reviews.
Maintain account trackers, checklists, and SharePoint resources with consistent version control; ensure data integrity, SLA adherence, and that process guides and QRGs stay current.
2. Power Platform & Automation
Automate the operations above using Power Automate flows — auto-updating trackers, triggering notifications (reminders, SLA alerts, expirations), and eliminating manual data re-entry across various platforms.
Build Power Apps and SharePoint List solutions for intake forms, tracker front-ends, and dashboards.
Maintain documentation, governance, and version control; provide light user training.
Connect into firm-wide automation and AI initiatives.
Under the direction of the Program Management Director, identify and deliver the next wave of automation opportunities across the account.
Required Qualifications
1–2 years of professional experience with demonstrated Power Platform delivery.
Power Platform proficiency:
Power Automate (cloud flows, scheduled flows, approvals, error handling, connectors)
SharePoint Lists / Online as a structured data backbone
Power Apps
Excel / Power Query
Strong familiarity with the Microsoft 365 stack (Teams, Outlook, Planner, Loop).
Ability to translate operational pain points into automated solutions and document them for long-term sustainability.
Highly organized and detail-oriented, with a passion for process standardization and managing multiple trackers, projects, and SLAs simultaneously.
Excellent written and verbal communication; ability to engage internal stakeholders, partners, onsite teams, and colleagues with equal ease.
All offers and/or employment contracts are contingent upon the successful completion of the Firm’s pre-employment screening process. This process may include verifying the candidate’s identity, confirming legal authorization to work in the offered position’s location, and conducting a comprehensive background check, where permitted by local regulations. We use limited AI‑assisted tools for administrative screening purposes only - never for decision‑making. All hiring decisions are made by people. Applicants may have rights to information and explanations regarding the use of such tools, or request human review, as required by applicable regional laws.
