Job Description

Position Summary

At Brookfield Properties Multifamily, the Learning and Development team plays a central role in shaping the employee experience and directly imbedded within operations. We are seeking an experienced and dedicated Onboarding Specialist to lead our onboarding program, ensuring a seamless and engaging transition for new hires. This role is instrumental in fostering a positive associate experience from day one, setting the foundation for long-term success.
The ideal candidate is highly organized, detail-oriented, and committed to excellence. This role requires strong project management skills, a deep understanding of onboarding best practices, and the ability to optimize internal processes in collaboration with key stakeholders. The Onboarding Specialist will support multiple business partners, requiring the ability to prioritize effectively, work cross-functionally, and communicate with clarity and confidence.

Essential Job Functions

Job Function #1:​

  • Design, implement, and continuously enhance onboarding programs that reflect company culture, values, and business objectives.

  • Develop and maintain comprehensive onboarding resources—including presentations, handbooks, and e-learning modules—to ensure a consistent and effective experience for new hires.

  • Ensure compliance with company policies, industry regulations, and best practices by aligning onboarding processes with current standards and legal requirements. (20%)

Job Function #2:

  • Leverage technology including Learning Management Systems (LMS), Applicant Tracking Systems (ATS), collaboration tools, and data platforms to streamline and optimize the onboarding experience.

  • Coordinate training logistics, managing enrollment, scheduling, pre-work assignments, collaboration platform access, and material distribution to ensure a seamless and engaging learning experience for new hires.

  • Monitor and report onboarding progress, maintaining accurate records of training completion and providing insights on new hire integration and compliance metrics. (20%)

Job Function #3:

  • Lead orientation sessions to introduce new hires to company policies, procedures, culture, and expectations.

  • Facilitate training initiatives that equip new associates with the knowledge and skills needed for success in their roles.

  • Collaborate with HR, hiring managers, and business leaders to customize onboarding content, experiences, and training to align with the needs of specific roles and teams. (20%)

Job Function #4:

  • Foster strong relationships with new associates and hiring managers to support a smooth and positive onboarding transition.

  • Create an inclusive and engaging experience where new associates feel welcomed, valued, and aligned with the company’s culture.

  • Develop and implement targeted surveys to gather insights on the new hire experience, measure onboarding effectiveness, and identify areas for continuous improvement.

  • Establish a structured process to document, track, and analyze all communication with new associates throughout their onboarding journey.

  • Ensure clear, consistent, and transparent communication with stakeholders by providing timely updates, gathering feedback, and aligning expectations.

  • Maintain centralized department communications and digital resources, including shared drives, team sites, and department email channels, to ensure accessibility and organization. (20%)

Job Function #5:

  • Implement a structured system for tracking, reporting, and monitoring compliance and key onboarding processes. Ensure transparency and accountability by setting clear expectations, measuring progress against defined metrics, and providing support and feedback to drive ownership, efficiency, and continuous improvement.

  • Evaluate onboarding effectiveness using a data-driven approach, incorporating key metrics such as retention rates, time to productivity, new hire satisfaction, manager feedback, completion rates, engagement levels, early performance indicators, and cost analysis to ensure a seamless transition and long-term success.

  • Continuously refine onboarding processes by assessing feedback, analyzing outcomes, and integrating industry best practices to enhance training efficiency and overall program effectiveness. (20%)

Education

Undergraduate (Bachelor) Degree in English, Communication, Adult Learning, Instructional Design, Business Administration

Experience

3-4 Years of experience managing HR Programs (i.e. onboarding, mentorship, manager training etc.) required

3-4 Years of Utilization of HRIS and LMS systems required

3-4 Years of Public Speaking and Facilitation to small to mid-size audiences required

1-2 Years of Instructional Design experience utilizing (i.e. Adobe InDesign, Captivate, Articulate, Camtasia, or Vyond) preferred

Please note: 5-7 Years of relative work experience could offset minimum educational requirements
