This role is an integral part of the People team, collaborating in the execution and functional excellence of People initiatives, providing great internal support and process improvement.
The Onboarding & Office Coordinator's contribution to the team members' experience is one of the most important and critical components to be successful. You will help us build an impactful and amazing employee experience from onboarding, training, feedback, and career development.
Time management, outstanding communication skills, and workflow coordination are key for this role, in order to support the progress of different projects, connecting with team members of all layers of the organization.
Responsibilities:
- Employee Onboarding & Engagement
- Welcome new employees and facilitate their onboarding experience, ensuring they feel supported and informed.
- Assist in conducting orientation meetings and help managers complete onboarding paperwork.
- Accurately enter new hire information in our HRIS.
- Administrative & Operational Support
- Provide administrative support across various of areas, including workers' compensation, and hiring processes.
- Coordinate interviews and phone screenings, ensuring timely follow-ups.
- Partner with People team to help with on-site events.
Special Projects:
- Support in-person week coordination and logistics.
- Assist with employee uniform orders and distribution.
Minimum Requirements:
- 2+ years of previous administrative or project management experience in a startup environment.
- Strong time management skills, ability to function effectively in a fast-paced environment
- Excellent oral and written communication skills
- High-energy, self-starter who has the initiative to function autonomously, anticipate needs, and prioritize responsibilities
- Proven ability to work well in a team environment
- Must be proficient with computer systems
- Bilingual (English/Spanish) required
- On-site five days per week in Commerce, CA facility
Preferred requirements:
- Familiarity with California labor laws and I9 onboarding procedures
- Ability to adapt to a fast-paced and dynamic work environment.
- Proficiency in tools such as Notion, Google, and Monday.com.
