Position Summary 
The Onboarding Manager owns the new hire experience from offer acceptance through the first 90 days, leading the team that turns Hays’ onboarding strategy into a consistent, high-touch reality for every incoming employee. This role directly manages both the Onboarding Coordinator and the Onboarding & Employee Experience Lead, ensuring pre-boarding, orientation, content, and early integration run without gaps.
 As the senior voice for onboarding within the Human Resources function, you set the strategy, standards, and metrics the team is measured against, and you are the escalation point when a new hire’s experience is at risk. You build and coach the onboarding team, manage relationships with IT, Facilities, and hiring managers at the leadership level, and report on onboarding health and outcomes to HR leadership. 
Key Responsibilities 
  • Directly manage the Onboarding Coordinator and the Onboarding & New Hire Experience Lead, including hiring, training, coaching, and performance management.
  • Own the end-to-end onboarding strategy, translating company goals into pre-boarding, orientation, and early-tenure programs that scale as headcount grows. 
  • Set and track onboarding KPIs (Day 1 readiness, new hire satisfaction, time-to-productivity, 90-day retention), reporting results and trends to HR leadership on a regular cadence.
  • Serve as the escalation point for pre-boarding and onboarding issues the team cannot resolve on its own, stepping in on time-sensitive or sensitive situations
  • Oversee the onboarding program budget, including welcome inventory, new hire travel, and orientation materials, and manage vendor relationships tied to onboarding (background screening, travel, printing).
  • Partner with IT, Facilities, Recruiting, and hiring manager leadership to resolve systemic gaps in communication, equipment, access, or workspace readiness rather than one-off tickets. 
  • Design and continuously improve orientation program and materials, incorporating new hire feedback and business changes. 
  • Works closely with Training & Development to ensure onboarding curriculum and role-based training assignments are relevant and accurately reflect business needs.
  • Audit HRIS records and pre-boarding compliance documentation (screenings, verifications, I-9s) to ensure the team’s work meets 100% accuracy and legal compliance standards.
  • Ensure orientation sessions run consistently across locations and cohorts, stepping in to co-facilitate or troubleshoot when needed.
  • Build and maintain onboarding documentation, SOPs, and cross-training materials so the function is resilient to turnover or growth.
  • Represent onboarding in cross-functional planning with recruiting, HR systems, and facilities to keep the new hire experience aligned with broader company initiatives.
  • New hire Day 1 attendance/show rate and on-time readiness (equipment, access, workspace). 
  • New hire satisfaction scores at 30/60/90 days. 
  • Time-to-productivity for new hires by role and department. 
  • 90-day voluntary turnover rate for new hires. 
  • Pre-boarding compliance completion rate (screenings, verifications, paperwork) prior to Day 1. 
  • Orientation session ratings and feedback survey response rate. 
Qualifications & Skills 
  • Bachelor’s degree in Human Resources, Business, Communications, or a related field, or equivalent experience. 
  • 4+ years of experience in HR, onboarding, recruiting coordination, or employee experience roles, including at least 2 years directly supervising or leading a team.
  • Demonstrated success building or scaling an onboarding, new hire, or similar HR program.
  • Proficient with HRIS platforms, Microsoft Office, and virtual meeting tools. 
  • Strong project management skills with the ability to manage multiple workstreams and competing deadlines. 
  • Skilled at analyzing data and translating it into clear KPI reporting for leadership. 
  • Excellent verbal and written communication, with the ability to create and deliver professional and engaging presentations. 
  • Well developed coaching skills, with the ability to develop and manage direct reports. 
  • Proven ability to handle escalations, ambiguity, and confidential information with sound judgment. 
  • Strong cross-functional relationship-building skills, particularly with IT, Facilities, and hiring managers. 
  • Demonstrated accountability and initiative, with the ability to operate effectively with minimal oversight. 
Preferred 
  • SHRM-CP, PHR, or similar HR certification.
  • Prior Workday experience.  
  • Experience managing onboarding or employee experience programs across multiple locations. 
  • Experience utilizing HRIS or process automation technology to improve onboarding workflow and new hire experience. 
  • Background in the construction, electrical, or industrial services industry. 
  • Bilingual (English/Spanish). 
Work Environment & Physical Requirements 
Sedentary: While performing the duties of this job, the employee is regularly required remain a stationary position over 75% of the time, constantly operates a computer and other office productivity machinery which can include a copy machine or printer, frequently communicates with internal and external contacts, and must be able to exchange accurate information. The employee is occasionally required to move about inside the office to access file cabinets, office machinery, and handle up to 20 pounds (files or office supplies). Must be able to detect, determine, distinguish, inspect, assess, and adjust focus.
