We are looking for an Onboarding Administrator which will play a crucial role in welcoming new employees to the organization and ensuring a smooth transition into their roles. This position involves overseeing the onboarding process, coordinating training and orientation activities, and ensuring compliance with company policies. The Onboarding Administrator serves as a key point of contact for new hires and will work collaboratively with various departments to facilitate a smooth transition.
What you will do
- Develop, implement, and manage a comprehensive onboarding program that includes orientation sessions, training schedules, and team integration activities.
- Prepare and distribute onboarding schedules, materials, and resources.
- Collaborate with department heads to tailor onboarding processes to specific team needs.
- Ensure Daniels Academy’s modules are up to date and recordings stored within Learning Management System (LMS) platform.
- Monitor completion of Daniels Academy certification dates via LMS to ensure training is executed.
- Take ownership of the training calendar to ensure accuracy, updating new hires and sessions as needed.
- Monitor intake dates for effective group hiring, coordinating and combining intakes where applicable.
- Conduct initial orientation sessions for new employees where required.
- Collect feedback from new hires and stakeholders to continuously improve the onboarding experience.
- Assist in planning and organizing onboarding events and activities.
- Ensure all required documentation is completed and filed in accordance with legal and company standards.
- Monitor new hire progress and engagement during the onboarding period, providing additional resources or support as needed.
- Partner with HR team members to align onboarding processes with overall recruitment and employee engagement strategies.
- Maintain accurate records of onboarding activities and employee progress.
- Support payroll/recruitment in following up new hire paperwork where required.
- Adhoc tasks as required.
Skills
- 2-5 years of experience in onboarding administration or an administrative style role.
- Familiarity with HRIS/ATS/LMS systems preferred (Paylocity, Workday, Lever, cornerstone)
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills, with a focus on building relationships and fostering a positive onboarding experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn new software quickly.
- Attention to detail and a commitment to maintaining confidentiality.
- A proactive and positive attitude, with a passion for helping others and promoting a welcoming workplace culture.
- Ability to work independently as well as part of a team in a fast-paced environment.
