Job Overview:
Oliver Wyman is looking for an Executive Assistant and Workplace Administrator for our Raleigh, NC office. In this role, you will coordinate efforts for your Partners to help them meet their business goals and objectives while providing support to the Raleigh, NC office needs. Partners depend on you to collaborate with all parts of the business. Executive Assistants work closely with colleagues to share information and provide consistency. As an Executive Assistant/Workplace Administrator, you will provide administrative support to 2-3 Partners and be the Office Services point of contact for the Raleigh office.
This is a Hybrid position based out of the Raleigh, North Carolina office and you will be required to go into the office approximately 50 percent of the time to support meetings, trainings and other community-building activities as needed.
Executive Assistant Key Responsibilities:

Complete a variety of administrative tasks including managing extremely detailed and intricate calendars, booking business travel and appointments, organizing video conferences, processing expense reports and vendor invoices and maintaining trusted CRM data

Develop a knowledge base of projects, key clients and internal support functions to support Partners goals and objectives

Office Services Coordinator Key Responsibilities:
OS Admin and Office Management
Single Point of Contact (SPOC) for the Raleigh, NC office.
Manage the office inbox and respond to user inquiries as needed in a proactive and customer service-oriented manner
Conduct local office new hire orientation, including pre-boarding administration such as creating ID cards and assigning seating; manage exit processes for leaving employees
Provide content and updates for the office SharePoint page and post office announcements to the office Slack channel
Order and stock office supplies, including café snack and beverage inventory and green initiative items
Workspace management
Guide staff about meeting facilities and assist as needed with conference room and meeting needs, including all aspects of guest management, AV & ITS coordination, catering & other supplies.
Assist staff with and how to use workspace for “Office as a Hub” philosophy
Assist with internal office moves and refurbishment projects as needed
Proactively work with Office Leader and other office teams to ensure the workspace is meeting staff needs
Create and maintain an office guide for staff and visitors
Maintain office occupancy database(s)
Assist with special projects as needed
Facilities Management
Daily maintenance of office space; ensure the office always remains a safe and productive working environment. Enforce confidentiality policies of clean desks and white boards
Reach out to building maintenance and/or other vendors as needed to resolve issues or have things fixed
Special Events Facilitator
If required, assist with organization and planning of office events, including regular TGIFS; events outside the office; holiday party; etc.
Work with Office Leader, Social Committee and OW Events to provide support for in-office events. Duties such as coordinating building access for outside vendors, ordering special supplies, supervise special room set-ups, order beverages for in office social events
Experience Required:
2+ years of previous administrative or customer service experience
Advanced experience with Microsoft Office suite, including Word, Outlook and PowerPoint
Bachelors’ Degree or equivalent experience
Skills and Attributes:
Thoughtful judgment and ability to have an owner’s mentality while being courteous and caring
Strong organizational skills that demonstrate the ability to perform and prioritize multiple tasks
Detail-oriented, even when the work is fast-paced
