Position Summary
We are seeking a reliable and detail-oriented Office Support Assistant to provide part-time administrative and clerical support to our team. This role is ideal for someone who is organized, proactive, and comfortable working independently in a fast-paced office environment.
 
This position will be on site and will be expected to work 30 hours per week.

RESPONSIBILITIES

    JOB SUMMARY

    We are seeking a reliable, detail-oriented Office Support Assistant to provide part-time (30 hours/week) administrative and operational support in a fast-paced office environment. This role is ideal for someone who is highly organized, proactive, and comfortable managing a wide range of responsibilities independently.

    In addition to core office support duties, this position will play a key role in coordinating executive leadership travel, supporting internal and external visitors, and ensuring smooth day-to-day office operations.


    ESSENTIAL DUTIES

    The employee is expected to perform each essential duty to a high standard as expected by the Company.

    · Sort and distribute incoming mail, including forwarding checks to the Accounting Department

    · Review and route incoming mail such as medical forms, group reservations, HR documents, and other materials to appropriate departments

    · Maintain office supplies, including ordering coffee, snacks, and other necessities; clean and maintain the coffee machine

    · Schedule maintenance and repairs for office equipment and facilities

    · Assist HR and IT with onboarding tasks, including assigning desks and key cards

    · Code and process invoices as needed


    Office Coordination & Visitor Support

    · Facilitate office visits for internal team meetings and external guests

    · Coordinate building access for visitors, including managing badges and entry logistics

    · Reserve conference rooms and ensure spaces are properly prepared

    · Arrange catering or meals (e.g., breakfast/lunch) for meetings and events as needed


    Executive & Administrative Support

    · Provide scheduling and coordination support for executive leadership travel, including booking and itinerary management

    · Assist with other administrative tasks and special projects as assigned

QUALIFICATIONS

  • High school diploma or general education degree (GED).
  • 1+ years of experience using Microsoft Office apps including Word and Excel.
  • 1+ years of experience working in an office environment.
  • Strong organizational skills and keen attention to detail.
  • Ability to manage multiple tasks and meet deadlines under pressure.
  • Ability to communicate effectively and professionally--both verbally and in writing.
  • Comfortable working independently with minimal supervision
  • On-site role in a professional office setting
  • Flexible scheduling within standard business hours
  • Collaborative and supportive team culture
