The Office Support Coordinator provides a positive first impression of the company, answering calls and greeting guests in a professional, courteous, and timely manner directing each to the appropriate staff members. This position provides general office support with a variety of clerical activities and related tasks.

KEY RESPONSIBILITIES

· Answer all incoming phone calls within 3 rings and route calls to appropriate staff members, being courteous and friendly. Understand the business cycle and staff needs in relationship to routing calls, Teams messaging, and voicemail when appropriate.

· Greet all incoming guests, creating a lasting impression on everyone you encounter.

· Maintain the PIPAC Office Calendar and being mindful of events and appointments that affect the availability of staff members.

· Process daily outgoing mail and agent supply orders.

· Maintain office/kitchen supplies and order as needed.

· Perform administrative agent relations tasks including but not limited to: processing co-op submissions, agent award reporting, agency card correspondence, CE materials preparation, and data entry for various departments.

· Maintain neat and organized office space including the front desk, mail room, conference room, and GAP office.

· Must be capable of regular and predictable attendance to perform job tasks.

· Other clerical projects and duties assigned.

EDUCATION AND SKILL REQUIREMENTS

· High school diploma and 1 year of customer service or receptionist related experience. Additional certifications in office administration or related fields are a plus.

· Excellent verbal and written communication skills.

· Professional and friendly demeanor with strong customer service skills.

· Ability to operate telephone systems, office equipment and handle basic troubleshooting.

· Proficient in using computer systems and office software (MS Office, Outlook, Teams and calendar features).

· Ability to work independently and flexibility to adapt to varying levels of incoming phone traffic based on business cycle.
