ESSENTIAL DUTIES and RESPONSIBILITIES

  • Provide coverage on the switchboard when assigned.
  • Provide backup coverage for reception as needed.
  • Perform daily sweeps of the buildings to ensure common areas, conference rooms, and workspaces are clean, organized, and stocked with supplies.
  • Maintain cleanliness and inventory of recreation area in the Café.
  • Provide backup coverage for the Mail Services Coordinator as needed.
  • Provide receiving services and work with delivery drivers to coordinate safe deliveries.
  • Review UPS invoices for accuracy, assign appropriate billing levels, and submit to accounting to ensure accurate processing and cost allocation.
  • Coordinate new hire desk setup, ensuring workstations are properly equipped and ready for use.
  • Manage office supply inventory and place orders as needed to ensure availability of essential items.
  • Manage employee supply requests and ensure that needs are met in a timely manner.
  • Oversee conference room setup for meetings and events, ensuring technology and seating arrangements meet requirements.
  • Perform basic maintenance and troubleshooting of office printers, A/V, and other equipment, escalating issues to vendors as necessary.
  • Willingness to learn new features and functionalities of office equipment as technologies develop.
  • Serve as a liaison with building management and external vendors to address facility issues, schedule maintenance, and coordinate deliveries or repairs.
  • Monitor and operate security camera systems to help ensure the safety and security of office premises, promptly reporting any suspicious activity or security concerns.
  • Ensure employee satisfaction through understanding of expectations, proactive problem identification and resolution, and maximizing opportunities to build relationships.
  • Collaborate with other departments to address employee needs and improve internal service delivery.
  • Maintain knowledge of company policies, procedures, and best practices to ensure proper guidance is provided to employees.

  • Support the Office Services department’s operational goals by ensuring smooth execution of administrative tasks.
  • This position, as part of the overall Corporate Experience Team, works to ensure a memorable experience for employees, customers, and the community.

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) and six months to one year of related experience; or an equivalent combination of education and experience. Previous experience in office coordination, facilities management, administrative support, or a customer service-oriented role is desirable.

KNOWLEDGE and SKILL REQUIREMENTS

The ideal candidate will demonstrate:

  • Strong organizational and time management skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent communication and interpersonal skills, with a professional demeanor.
  • Detail-oriented with the ability to anticipate office needs and proactively address them.
  • Proficiency in Microsoft Office 360 and familiarity with office equipment.
  • Ability to troubleshoot basic office equipment issues and coordinate technical support when needed.
  • Ability to work independently and collaboratively within a team environment.
  • Creative problem-solving skills and the flexibility to adapt to changing priorities.
  • Ability to lift and move office supplies and equipment weighing up to 50 pounds.
  • Ability or interest in forklift certification is a plus.

The work environment:

  • Office-based environment with occasional physical requirements related to inventory management, furniture, and event setup.
  • Some flexibility may be required for event coordination outside of standard business hours.
