The Office Services Coordinator is responsible for delivering administrative, operational, and workplace services support to ensure the efficient day-to-day operation of the Vancouver and Victoria offices. This role serves as a key point of coordination for employees, brokers, vendors, and building management, managing office services, facilities support, onboarding activities, vendor relationships, event coordination, logistics, and financial administration. - Manage day‑to‑day office functions to ensure the workplace is organized, tidy and welcoming for employees and visitors.
- Oversee procurement and inventory for office and kitchen supplies, including printing materials, coffee supplies, and presentation items.
- Coordinate catering and arrange food setup.
- Assist in the planning and support office events, from initial coordination and scheduling through final payments and follow‑up.
- Manage the main office phone line, monitor voicemails, respond to call‑back requests and direct calls to the appropriate team members.
- Support new hire onboarding by arranging email distribution lists, building access, headshots, office nameplates etc.
- Coordinate courier and shipping requests, including local deliveries and domestic or international shipments.
- Communicate with building management regarding office issues, service requests, and general operational updates.
- Administer accounts payable for the Vancouver and Victoria offices using Workday, ensuring invoices are processed on time.
- Track and monitor marketing budgets using Engage, including expenses for signage, photography, and mail distribution, ensuring costs stay within approved limits.
- Coordinate property signage, from request submission and proof review to installation and completion confirmation.
- Support brokers with vendor coordination and required documentation, including reminders related to licensing and compliance.
- Provide general administrative and operational support as needed to keep the office running smoothly.
- Provide administrative support to senior leadership
Qualifications
- High School Diploma or GED equivalent
- 1-3 years’ experience required.
- Previous office experience preferred
- Strong communication and customer service skills
- Excellent organization and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams)
- Ability to work independently and collaboratively
- Experience handling confidential information with discretion
- Strong problem-solving and time-management skills
- Adaptable and quick to learn new systems and processes
The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
