About the Role:
We are looking for a highly organized and proactive Office & Operations Manager to help establish and run our new Madrid office! This role will be the operational heart of the office - ensuring everything runs smoothly day-to-day while also providing executive support to the SVP of Sales for the region. The ideal candidate thrives in a fast-paced environment, enjoys building structure from scratch, and takes pride in creating a welcoming and well-run workplace. You’ll play a key role in building and shaping a brand-new office, helping create a productive and welcoming environment for our growing team in Madrid.
Roles and Responsibilities:
Office Management
- Serve as the main point of contact for all office operations
- Coordinate with building management, vendors, cleaning, and maintenance
- Manage office supplies, groceries, and inventory
- Support office setup, workspace organization, and ongoing improvements
- Welcome visitors and act as the front-of-house contact for the office
Events & Operations
- Help organize QBPs / Offsites for the EMEA region
- Research and coordinate venues, hotels, travel, and catering
- Assist with agenda coordination and event logistics
- Support onsite execution of internal meetings or team gatherings
Executive Support
- Provide administrative support to the SVP of Sales
- Manage calendar scheduling and coordinate meetings
- Assist with travel arrangements and logistics
- Support preparation for leadership meetings and events
- Manage expenses
- 2+ years of relevant experience in a professional setting
- Fluent in English & Spanish
- Ability to work in a fast paced environment
- Experience with Microsoft Office Suite/G-suite products
