About the Role:

We are looking for a highly organized and proactive Office Manager & Executive Assistant to help establish and run our new Madrid office. This role will be the operational heart of the office - ensuring everything runs smoothly day-to-day while also providing executive support to the SVP of Sales for the region. The ideal candidate thrives in a fast-paced environment, enjoys building structure from scratch, and takes pride in creating a welcoming and well-run workplace. You’ll play a key role in building and shaping a brand-new office, helping create a productive and welcoming environment for our growing team in Madrid.


Roles and Responsibilities:

Office Management 

  • Manage the day-to-day operations of the Madrid office
  • Serve as the main point of contact for all office operations
  • Coordinate with building management, vendors, cleaning, and maintenance
  • Manage office supplies, groceries, and inventory
  • Ensure the office is welcoming, organized, and fully operational
  • Support office setup, workspace organization, and ongoing improvements
  • Welcome visitors and act as the front-of-house contact for the office

Events & Operations

  • Help organize QBPs / Offsites for the EMEA region
  • Research and coordinate venues, hotels, travel, and catering
  • Assist with agenda coordination and event logistics
  • Support onsite execution of internal meetings or team gatherings

Executive Support

  • Provide administrative support to the SVP of Sales
  • Manage calendar scheduling and coordinate meetings
  • Assist with travel arrangements and logistics
  • Support preparation for leadership meetings and events
  • Manage expenses 


  • 1-2 years of experience in a professional setting
  • Fluent in English & Spanish
  • Ability to work in a fast paced environment
  • Experience with Microsoft Office Suite/G-suite products
