As our Office Operations Coordinator, you are the vital link that keeps our South San Francisco office running smoothly. You will be the primary point of contact for our team and visitors, working closely with Facilities and the People & Culture team to maintain a professional, efficient, and welcoming environment.
You are the "anchor" of our daily office flow. Your mission is to ensure our physical space is mission-ready and our administrative operations are seamless. While your primary focus is office-wide, you will also be providing administrative support to our executive leadership team and have the opportunity to contribute to our vibrant office culture.
Key Responsibilities
- Office & Facilities Coordination: Serve as the first point of contact for all visitors, calls, and deliveries. Own the daily "readiness" of the office—managing inventory, supplies, mail, and shipping with proactive attention to detail.
- Administrative Support: Provide high-quality administrative partnership to the Executive Leadership Team, including calendaring, travel coordination, and expense reports.
- Culture & Engagement: Coordinate office events, catering, and employee engagement activities.
- Tech & Logistics: Manage room scheduling and provide basic troubleshooting for video conferencing tools (Zoom/Microsoft Teams) to ensure hybrid meetings run professionally.
- Departmental Assistance: Support various teams with clerical tasks, onboarding logistics for new hires, and internal office communications.

- Experience: Proven success in a front desk, office coordination, or administrative role within a corporate environment.
- Professionalism & Discretion: A polished communicator who maintains confidentiality when assisting executive leadership and high-level visitors.
- Organizational Mastery: You are a natural "multitasker" who can manage shipping logistics one moment and executive travel the next without losing focus.
- Tech Savvy: Proficient in Microsoft 365 (Outlook, Teams, Word, Excel) and comfortable navigating modern office systems.
- On-Site Presence: This is a 100% on-site role in South San Francisco. You must be able to support daily office activities, which may include lifting or moving items up to 30 lbs.

In accordance with applicable law, Hearst is required to include a reasonable estimate of the compensation for this role if hired in San Francisco, CA. The reasonable estimate, if hired in San Francisco, is $49,000 – $55,000. Please note this information is specific to those hired in location. If this role is open to candidates outside of location, the salary range would be aligned to that specific location. A final decision on the successful candidate’s starting salary will be based on a number of permissible, non-discriminatory factors, including but not limited to skills and experience, training, certifications, and education.
