Mintel, the world’s leading Market Intelligence agency, is looking for a detail-oriented and highly organized individual to join the company as Office Operations Administrator for the Americas region from our Chicago Headquarters.
Reporting to the Senior People Manager, you will support an Americas employee base of over 350 employees. You will assist with managing the travel to and from our Chicago office, as well as the coordination of in-office events and other administrative tasks.
This is an on-site position based in Chicago.
What You Will Be Doing:
- Upholding our Culture: The office management team is the first face or voice some of our clients, partners and visitors have exposure to. You will ensure all employees, visitors and clients have a positive memorable experience when visiting or calling our offices.
- Travel Coordination: Manage travel administration with our travel vendor, assisting with the various travel support needs that arise with employees traveling to and from the Chicago office.
- Apartment Management: Manage apartment bookings, cleaning schedules, maintenance, and inventory ensuring that our guests have the best experience possible during their stay.
- Event Coordination: Work with the Office Coordinator to coordinate social events and communication of social happenings within the Americas region. You will assist with placing catering orders for in-office events and meetings, month-end lunch, monthly birthday recognition, training and other special events.
- Executive Assistance: Be the point person for Executive staff for coordinating travel, events, and miscellaneous administrative assistance.
- Conference Room Management: Assist with conference room booking, ensuring that rooms are being used efficiently and assist with any trouble-shooting needed. Coordinate with Office Coordinator to ensure conference room cleanliness.
- Inventory Management: Track our inventory of all office supplies, including but not limited to: mailing supplies, pen and paper supplies, beverages, snacks, toiletries, etc.
- Inventory Stocking: Coordinate with the Office Coordinator to fulfill daily stocking of the break areas (coffee, tea, creamer, etc.) and printer stations (paper and supplies)
- Misc. Administration: Occasional administrative support including data entry to the management team as well as other departments.
- Facility Safety: You will actively participate on the Crisis Management team, attending meetings, facility safety drills, and chairs a team of office emergency ambassadors.

The below reflects the range of base salary for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to, skills, experience, and qualifications. The salary range for this role is: $52,000 USD to $65,000 USD.
