Job Summary:
The Office Manager I is responsible for overseeing the daily operations of an office and its various departments. Their duties include communicating with department heads, relaying important information or policy changes from upper management, and implementing incentives to enhance employee productivity.
Primary Responsibilities:
- Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
- Perform receptionist duties including greeting visitors, answering questions, and directing clients.
- Receive and sort incoming mail and deliveries and manage outgoing mail.
- Develop office policies and procedures and ensure they are implemented appropriately.
- Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
- Identify opportunities for process and office management improvements, and design and implement new systems.
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
- Oversee the work of all office employees to ensure they work productively and meet deadlines and company standards.
- Answer telephone calls and emails from customers and clients and direct them to relevant staff.
- Assist in creating an office budget and ensuring all employees follow it.
- Monitor office supplies and order new stationery, furniture, appliances, and electronics as required.
- Organize office for new hires.
- Organize maintenance companies to keep the office clean and safe and ensure its appliances are in good working order.
- Update Administrative Director/Clinical Director on office/personnel performance.
- Follow all policies and procedures set forth by Echota Behavioral Health.
- Other duties as assigned by supervisor.
Supervisory Responsibilities:
- This position provides oversight to other office staff.
Education:
- High school diploma or equivalent required.
License/Certifications:
- No professional license or certification required.
Experience:
- 2-5 years of work experience in an administrative/office management role.
- Must have exceptional attention to detail.
- Strong organizational and time management skills, and ability to prioritize.
- Must be a self-starter and driven.
- Excellent communication and interpersonal skills.
- Strong problem-solving skills and analytical abilities.
- Must be proficient with Microsoft Office and Google products.
- Must possess a valid Oklahoma Driver’s license and a clear background check.
Physical Requirements:
- Must be able to lift 20 lbs.
- Frequent interaction with clients, visitors, and external partners.
- May require standing for extended periods, walking between rooms and work areas, lifting or moving supplies, and using standard office equipment.
- Requires discretion, empathy, and professionalism when handling sensitive information.
Work Environment:
- Office-based behavioral health clinic.
- The employee must follow all safety, infection prevention, and confidentiality requirements.
