Position Summary
The Office Manager supports daily office operations by coordinating administrative activities, maintaining office organization, and assisting employees, visitors, and customers. This position helps ensure the office operates efficiently and supports company objectives.
Essential Duties & Responsibilities
Greet and assist visitors, customers, vendors, and employees in a professional manner.
Provide support to visitors or customers
Provide administrative support to employees
Maintain proficiency in office systems and administrative processes.
Provide reports as requested
Check and distribute mail
Maintain office conditions by coordinating repairs, maintenance, and facility-related needs.
Order, track, and maintain office and operational supplies.
Order oil sample supplies
Coordinate travel arrangements for rotators.
Coordinate travel for training/meetings
Responsibly manage company credit card expenditures and ensure timely submission of expense reports (monthly).
Partner with corporate contact to organize special events
Arrange lunch when training/meetings are in session
Coordinate employee engagement opportunities
Coordinate Monthly/quarterly community volunteer opportunities
Update The Den as needed
Attend safety meetings and complete required Behavioral- Based Safety forms (BBS), monthly
Serve as building emergency action coordinator
Maintain records of employee key card access and coordinate programming requests.
Coordinate company vehicle administration, including registrations, license plates, spare keys, and related documentation.
Support utilization of Geotabs on company assets
Update and maintain technician assignments and other operational tracking systems.
Open Work Orders/Work Tickets as needed
Support Kodiak initiatives
Perform additional duties and special projects as assigned.
Education, Experience and Training
High school diploma or GED
Minimum two years of office manager or related experience
Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and Adobe Acrobat
Knowledge of office management systems and procedures
Strong verbal and written communication skills
Excellent organizational skills and time management skills
Valid Driver's License, with Motor Vehicle Record (MVR) within the acceptable parameters of Company Policy required
Ability to read, write, speak, and understand English
Physical Demands
Ability to lift boxes not to exceed 35 lbs.
Ability to sit or stand for long periods of time as needed
Must be able to work under pressure and occasionally long or irregular hours
Travel requirements, up to 10%

Skills Required
