Position Summary: Witherite Law Group is seeking a dynamic and highly organized professional to serve as an Office Manager in our Chicago office. This position will manage the daily office operations and front desk responsibilities. The ideal candidate will be a proactive problem-solver with exceptional communication skills, capable of handling complex administrative tasks, coordinating office services, and fostering a productive, welcoming environment for employees and visitors.
Key Responsibilities:
- Office Management & Facilities:
- Oversee and support all administrative duties to ensure smooth office operations.
- Monitor and replenish office inventory and supplies.
- Ensure proper functioning of appliances, copiers, and Keurig machines; coordinate service requests.
- Fulfill employee requests related to office services and facilities.
- Supervise cleaning and maintenance of the suite.
- Coordinate new hire setup, including workspace preparation and building access.
- Update floor plans and participate in Office Services team meetings.
- Develop and implement office policies and procedures.
- Identify and implement process improvements and new systems.
- Coordinate vendor relationships, contracts, and proposals.
- Ensure building compliance and manage emergency preparedness programs.
- Respond to firm emergencies and ensure safety protocols are followed.
- Actively seek cost-saving opportunities for the firm.
- Front Desk & Visitor Experience:
- Coordinate with building security to authorize visitor access.
- Greet and welcome guests, offer refreshments, and notify appropriate staff.
- Prepare and maintain conference rooms for meetings.
- Assist clients with disabilities and coordinate shared ride support.
- Issue and manage visitor and employee badges.
- Assist clients during settlement and release document signings, including notary coordination.
- Reception & Communication:
- Maintain a clean, organized, and welcoming reception area.
- Manage lobby TV and distribute incoming faxes.
- Respond to medical provider inquiries with appropriate case contact information.
- Handle daily mail: sort, scan to Filevine, distribute internally, and forward to Dallas.
- Escalate and notify leadership of critical mail addressed to the firm.
- Client & Provider Check Management:
- Notify relevant teams upon check delivery.
- Log check details and maintain records.
- Update company-wide check tracking spreadsheets.
- Verify client identity prior to releasing checks.
- People First Program Support:
- Respond to employee and client assistance requests.
- Coordinate support and gift orders as needed.
Qualifications:
- Bachelor’s degree in business administration, communications, or related field (preferred)
- Minimum of 3 years supporting senior executives and/or managing office operations
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Excellent written and verbal communication skills
- Proven ability to manage multiple tasks and priorities with accuracy
- Strong organizational, time-management, and critical thinking skills
- Professional demeanor and discretion in handling sensitive information
- Experience in legal, marketing, or HR environments is a plus

Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
