Nayax Japan is looking for a highly organized and detail-oriented Office Manager to oversee day-to-day office operations and ensure smooth communication with external customers and vendors.
The ideal candidate will have a solid understanding of basic bookkeeping processes, experience with banking coordination, and a proactive approach to managing administrative tasks.

IN THIS POSITION YOU WILL BE TASKED TO:
- Serve as the main point of contact for the office, ensuring smooth daily operations.
- Be in charge of products orders from HQ, manage Kitting operations at office, and products delivery to the final customers.
- As well as Manage company Inventory (inventory adjustment of handsets/SIM/accessories, quarterly inventory report/RMA)
- Organize, prepare, and transfer bookkeeping materials to external accounting services, maintaining accuracy and efficiency.
- Handle correspondence and communication with banks, resolving issues, and managing documentation.
- Maintain and update office systems, including Excell and OFFICE related SW, Salesforce (SF); experience with NetSuite is a strong advantage as the company transitions to this platform.
- Manage workflows using tools like Monday.com to improve collaboration and track task completion.
- Coordinate meetings, events, and logistics for the team.
- Maintain office supplies and ensure the workspace is fully equipped and functional.
- OPTIONAL_ prepare all invoices and calculate Billing for each and every customer.

- 簿記資料を整理し、外部の会計サービスに正確かつ効率的に提出する。
- 銀行とのやり取りや銀行関連の文書管理、問題を解決する。
- Excelやオフィス関連ソフトウェア、Salesforce(SF)、(NetSuite)を含むオフィスシステムの維持・更新を行う。
- Monday.comなどのツールを使って、タスク完了をフォローアップする。
- チームの会議、イベント、ロジスティクスの調整を行う。
- オフィス用品を管理し、作業環境を整える。
- オプション:すべての請求書を準備し、各顧客の請求を計算する。
Requirements
WE ARE LOOKING FOR SOMEONE WITH:
- Proven experience as an Office Manager or in a similar administrative role.
- Familiarity with bookkeeping practices and an understanding of accounting processes.
- Strong organizational skills and attention to details.
- Proficiency in Salesforce (SF) and Excell and familiarity with NetSuite; experience with Monday.com is highly desirable.
- Excellent communication and interpersonal skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Good business English; native Japanese.
- Advantage-Prior experience in working with financial institutions or handling bank-related processes.
